Full job description

JOB DESCRIPTION – CONCIERGE

Reports to the Premises Supervisor

Responsibilities:

Security

To assist the Building Controller in the formulation and adherence to Risk Assessment Plans. Risk areas under assessment to include: theft, fire, vandalism, compliance with regulations and breaches of security.

The protection of persons in the building is a priority.

The building is secured by devices installed by the Bank (i.e. CCTV, Intruder Alarm System, etc.,) but physical security inspection is necessary (fire alarm system, fire extinguishers, fire exit doors, windows, intruder alarms). A daily security check sheet that covers each floor of the premises owned by the Bank is to be adhered to. This document is to be signed and presented at the daily briefing with the Building Controller.

Daily routine to include:

Escorting and supervising persons who are engaged by the Bank to conduct works and servicing of the premises.
Receiving deliveries for the Bank and for tenants during the hours of 9am to 5pm
NatWest daily walk for the agency.
Accompanying staff collecting cash from the vaults (when requested).
Ensuring property is secure at end of business day (i.e. windows closed, doors shut/locked, fans and relevant equipment switched off.

It is your duty to ensure that staff comply with security and safety regulations (i.e. keeping doors shut, the use of fire exits, etc.) Breaches should be logged and reported at daily briefing with the Building Controller.

Ensure burglar / intruder Alarm systems operate correctly and that maintenance, in accordance with contracts, is conducted at set times.

Fire Precautions

To be fully aware of the requirements for fire prevention relating to the premises and, together with the Buildings Controller, diarise for quarterly fire drill practice and checks in respect of the effectiveness of fire extinguishers.

Ensure Fire Alarm systems operate correctly and that maintenance, in accordance with contracts, is conducted at set times.

You should ensure compliance with Health and Safety at Work Act and Fire Protection Act.

Maintenance

Areas of responsibility:

Branch Premises:– Sub basement, basement, 1st and 2nd Floors
Bank Building: – Common Parts (Staircase, Lifts etc.)
Roof area. (Subjected to daily review in accordance with daily checklist)
Tenanted areas: - 3rd to 6th Floors (Regular liaison with tenants to ensure normal enjoyment of the tenanted areas - in accordance with the leases).

Property Maintenance and Upkeep

The Common Parts and Bank Premises are to be cleaned daily and maintained as regards minor repairs. The contract for cleaning should be vetted to see that our overall requirements are being met according to the daily checklist. Visual spot checks are to be carried out.

Failure and irregularities by the Cleaning Contractors must be recorded on the daily checklist and reported at the daily briefing with the Building Controller.

Daily routine to include:

To conduct a daily inspection of the premises in accordance with the End of Day Building Checklist and to report any anomaly to the Building Controller.
To conduct inspection of the Bank areas and Bank toilet facilities during Bank opening times to ensure a high level of presentation and cleanliness.
To deal with minor works (changing light bulbs, fuses etc.) but no specialised work for which authorised contractors are required.
To monitor heating/ventilation equipment and notify specialist maintenance engineers as necessary.
To replace ‘consumables’ (roller towels, toilet paper, soap etc.,)
To attend to the requirements of window cleaners and other service suppliers as required.
To comply with UK regulations, the extent to which unqualified persons can conduct maintenance work is severely restricted. When it is identified that certain works are required, brief details are to be recorded on the daily checklist and brought to the attention of the Building Controller. The Building Controller will assess how the work can be undertaken and if the Country Manager should be briefed as to whether a professional building maintenance service provider should be approached for a fee estimate.

Monthly

To take meter reading for gas, electricity and water and to provide this information to the Accounts Department / General Administration.

Refuse

Responsible to ensure that refuse is collected by the local authority on a regular basis and on the allocated collection dates.

It may be necessary, from time to time, to arrange for special collections of refuse. The prior authorisation from the Building Controller is to be obtained.

Administration

Ensure compliance with Standing Instructions.

Stationery to be securely maintained and stock levels to be controlled to minimise excessive fluctuation in stock levels. Requests for stationery by Bank staff to be made on the appropriate order form.

Prepare orders for stationery and other items required for the efficient operation of the Bank utilising standard procedure and documentation.

Main printers/photocopiers to be checked on a daily basis to ensure they are adequately stocked with paper.

Records retention, storage and security for internal records. Delivery and maintenance of records in external archives. Due attention to recommended box destruction dates with reference to the Building Controller and Compliance prior to commencing the destruction process

Shredding of documents to be undertaken daily.

Supplies of tea, coffee, water, sugar, cups, spoons for use by staff to be made available in staff kitchen.

Bank reception area

To provide cover for the Bank reception area during the lunchtime period.

Tenants

Receive daily post for tenants and place in allotted area for tenant collection.

Receive deliveries and notify tenants of the arrival of deliveries.

Log any problems/complaints received from building’s tenants and advise Building Controller.

Regular liaison with tenants to ensure they have normal enjoyment of the tenanted areas - in accordance with the applicable lease arrangement.

Cover duties

To provide cover for the Bank Reception area and for the Building Controller during holiday periods.

Other duties

As required by the Management of the Bank.

Pay: £28,000.00-£29,000.00 per year
