Canford School Sports Centre is looking for an organised, enthusiastic and customer-focused Swimming Co-ordinator to support the continued growth of our successful Canford Swimming Academy.
This is a 1-year fixed term flexible, part-time role of 8 hours per week, offering the opportunity to work around the needs of the Swimming Academy. The successful candidate will coordinate the day-to-day administration of the programme, manage enquiries, enrolments, payments and waiting lists, support our team of swimming instructors, and help ensure an outstanding experience for our swimmers and their families.
We are looking for someone with a background in swimming teaching and swim school co-ordination, who has excellent organisational and communication skills and is passionate about delivering high-quality swimming lessons and exceptional customer service. The successful candidate will be confident working with parents, instructors and young swimmers, with the ability to support the continued growth and development of the Academy.
Background
Canford Swimming Academy was established in 2023 and has quickly developed a reputation for delivering high-quality swimming lessons in a safe, supportive and enjoyable environment. The Academy follows the STA International Learn to Swim Programme, providing structured, progressive lessons for children of all abilities.
Lessons are delivered over a continuous 50-week programme, allowing swimmers to progress throughout the year with minimal interruption. Sessions take place in Canford School's 25-metre indoor swimming pool, with class sizes deliberately kept small to maximise individual coaching. Grades 1–4 have a maximum of four swimmers per class, while Grades 5 and above have a maximum of five to six swimmers. In addition to group lessons, the Academy offers one-to-one tuition and has the capacity to deliver intensive holiday swimming courses to support accelerated learning and participation.
Overall Purpose
The Swimming Co-ordinator will be responsible for the day to day administration, organisation and development of the Canford Swimming Academy. Working closely with the Sports Centre Operations Manager and the team of swimming instructors, the postholder will ensure the smooth operation of the programme, deliver an excellent customer experience and support the continued growth of the Academy.
This role combines administrative, customer service, teaching and operational responsibilities with a focus on maintaining high standards of organisation, communication and safeguarding.
Duties
The Swimming Co-ordinator will play a pivotal role in the successful operation and continued growth of the Canford Swimming Academy. The postholder will oversee the daily administration of the programme, manage customer enquiries and swimmer enrolments, coordinate class allocations and waiting lists, monitor swimmer progression and support the team of swimming instructors. They will work closely with parents, coaches and colleagues to deliver an outstanding customer experience whilst ensuring the Academy operates efficiently and in line with safeguarding, health and safety and data protection requirements. The coordinator will also support the development of the Academy by helping maximise lesson occupancy, promoting new opportunities such as holiday courses and one-to-one lessons, and identifying ways to further enhance the programme as demand continues to grow.
Key responsibilities include:
- Co-ordinate the day-to-day running of the Canford Swimming Academy.
- Manage class registers, waiting lists and lesson allocations.
- Process new enquiries and enrolments efficiently.
- Co-ordinate swimmer assessments and progression between lesson stages.
- Monitor attendance and follow up where appropriate.
- Maintain accurate pupil records using the Sports Centre's management system.
- Act as the first point of contact for parents and customers.
- Respond promptly and professionally to telephone and email enquiries.
- Provide information regarding lessons, availability and Academy policies.
- Build positive relationships with families to ensure excellent customer satisfaction.
- Liaise with swimming instructors regarding lesson planning, swimmer progression and class capacities.
- Link with the Sports Centre Operations Manager to ensure monthly payments are not missed.
- Co-ordinate instructor rotas and lesson cover where required.
- Support recruitment and induction of new instructors.
- Support the continued growth of the Swimming Academy by maximising class occupancy.
- Identify opportunities to introduce additional classes and programmes.
- Assist with marketing and promotional activities.
- Monitor waiting lists and demand to ensure lessons are scheduled efficiently.
- Ensure all records are maintained in line with GDPR requirements.
- Support compliance with STA guidance and Canford School policies.
- Assist with health and safety checks relevant to the Swimming Academy.
- Undertake any other duties reasonably requested by the Sports Centre Operations Manager.
Knowledge/Experience
- Demonstrable experience of organising and administering swimming lesson programmes and supporting swimming instructors.
- Minimum of a Level 2 ASA/STA qualification
- Additional Swimming Qualifications desirable
- STA/ASA/NPLQ Water safety qualification
- Knowledge of the STA framework
