Overview
We are seeking an enthusiastic and well-organised individual to join our busy lettings and property management team as a Property Assistant. This is a varied and dynamic role that includes daily site visits as well as office-based administrative support.
You will play a key part in ensuring a smooth experience for both tenants and landlords, assisting with viewings, move ins, marketing materials, and property administration. No previous experience is required - full training on 1LET systems and procedures will be provided.
All team members are expected to work towards the NFOPP Technical Award in Residential Letting and Property Management (Scotland) within 18 months of appointment. This industry-recognised qualification, which leads to full MARLA membership, is funded by the company and rewarded with a salary increase upon successful completion.
Responsibilities
- Handling extensive telephone and email enquiries from prospective tenants.
- Showing properties to potential tenants.
- Processing new tenant applications.
- Communicating extensively with the Lettings Negotiator and/or other Property Management team members to identify the best tenant(s) for each property.
- Communicating effectively with tenants regarding the application process
- Assisting Lettings Negotiator with the move in administrative tasks
- Preparing and producing marketing materials for properties
- Preparing keys for tenant move ins
- Handling of utilities processing
- Reviewing and sorting mail
- Utilising extensive internally and externally designed IT and administrative systems and procedures.
- Providing accurate and helpful information to other members of staff in a timely manner
- Being familiar with legal and legislative information relating to residential letting as well as understanding, promoting and using the companies agreed letting policies and procedures.
- Assisting the Lettings & Business Development Manager with social media tasks and planning.
- Helping with a variety of practical tasks that are essential to the smooth running of the office
