About the role
We're looking for a Personal Assistant to support our Director and help keep the office running day to day. It's a hands-on, varied job with a bit of everything: diary and travel, post and email, a hand with property and recruitment, and all the behind-the-scenes admin that keeps a busy office moving. No two days look quite the same, and you'll soon become the person everyone relies on to keep things in order.
You'll need to be well organised, calm under a bit of pressure, and happy to use your initiative. We want someone who notices what needs doing and gets on with it, rather than waiting to be asked. There's a fair amount of phone work too, so you'll need to be confident making calls and happy to pick up the phone to people you've not spoken to before.
What you'll be doing
- Supporting the Director day to day: managing the diary, booking appointments and making sure they're ready for what's coming up
- Arranging meetings, travel and accommodation, and putting together itineraries
- Looking after the post, keeping the mail log up to date, and dealing with email replies as needed
- Being a first point of contact on the phone and by email, for people inside and outside the business, including international contacts
- Helping with property matters: paperwork, appointments, records and general coordination
- Helping with recruitment: calling candidates, booking interviews and keeping people updated along the way
- Drafting, formatting and proofreading documents, reports and letters
- Taking minutes in meetings and chasing up the actions afterwards
- Keeping the office stocked and running, from ordering supplies to restocking the perishables
- Pitching in with general admin and the odd ad hoc project when the team needs a hand
What we're looking for
- Confident on the phone and happy to make calls, including to people you've not spoken to before
- Well organised, with a sharp eye for detail and the knack of juggling a few things at once
- Someone who uses their initiative and can be trusted to run with things
- Discreet and reliable, especially with confidential information
- A clear, accurate writer: spelling and grammar matter to you
- Comfortable with Google Workspace or Microsoft Office
- Calm when it gets busy, and able to drop everything when something urgent lands
A few things that would be a bonus, but aren't essential:
- An interest in the energy or sustainability sector
- Experience booking travel or supporting more than one person
Experience
Experience as a PA or EA to a Director, or in a similar support role, is preferred, but it isn't essential. We care just as much about attitude, reliability and a willingness to learn as a long CV, so if you're well organised and keen, we'd still like to hear from you.
