The Role
As our Receptionist, you will be the first point of contact for clients and visitors, creating an excellent first impression both in person and over the telephone. You will play a key role in ensuring the smooth day-to-day running of our busy office while managing the firm's central switchboard, handling calls for multiple office locations and ensuring enquiries are directed promptly and professionally.
Key Responsibilities
- Welcome clients and visitors in a professional and friendly manner.
- Manage the firm's central switchboard, answering and directing calls for multiple office locations efficiently and accurately.
- Take accurate messages and ensure they are passed to the appropriate person without delay.
- Deal with client enquiries professionally, ensuring an exceptional standard of customer service at all times.
- Manage meeting room bookings and prepare rooms for client meetings.
- Handle incoming and outgoing post, including scanning and saving to our case management system.
- Assist with general administrative duties including scanning, photocopying and filing.
- Maintain reception and client areas to a high standard.
- Order office supplies and refreshments as required.
- Support fee earners and administrative teams with ad hoc administrative tasks.
- Maintain strict client confidentiality and comply with the firm's policies and procedures.
About You
We're looking for someone who:
- Has excellent communication and customer service skills.
- Is confident managing a busy, multi-line switchboard and handling a high volume of calls professionally.
- Can remain calm under pressure while effectively prioritising competing demands.
- Has excellent organisational skills and strong attention to detail.
- Is confident using Microsoft Office and learning new systems.
- Is friendly, approachable and enjoys working as part of a team.
- Has previous reception, customer service or administrative experience. Experience within a legal or professional services environment would be advantageous but is not essential
