Job Role
The Specification Assistant supports the preparation, management, and coordination of product, project, and technical specifications. The role ensures that specification documents are accurate, compliant, up to date, and distributed to relevant stakeholders.
Working closely with sales, technical, design, procurement, and project teams, the Specification Assistant helps maintain quality standards and supports successful project delivery.
Key Responsibilities
· Assist in the preparation, review, and maintenance of product and project specification documents.
· Ensure specifications comply with company standards, industry regulations, and customer requirements.
· Maintain specification databases, document libraries, and technical records.
· Coordinate with internal departments to gather technical information required for specifications.
· Support the specification team in managing project documentation and submission deadlines.
· Review technical drawings, product data sheets, and supporting documentation for accuracy.
· Track specification requests and provide updates to stakeholders.
· Assist with creating specification templates, reports, and presentations.
· Maintain version control and ensure all documentation is current and properly archived.
· Respond to customer and internal enquiries relating to specifications and technical information.
· Support continuous improvement initiatives related to documentation processes and systems.
Essential Skills
· Strong administrative and organisational skills.
· Excellent attention to detail and accuracy.
· Proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and Teams.
· Strong written and verbal communication skills.
· Ability to manage multiple tasks and meet deadlines.
Desirable Experience
· Experience within construction, manufacturing, engineering, or product specification environments with working knowledge of document management systems.
