Job Summary
We are seeking a highly organised and detail-oriented Administrator to join our team. The successful candidate will be responsible for providing efficient administrative support across various departments, ensuring smooth daily operations. The Administrator will be integral in maintaining accurate records, managing correspondence, and supporting team members with a range of clerical tasks.
Key Responsibilities
- Provide comprehensive administrative support to managers, clinicians, and multidisciplinary teams.
- Respond to telephone calls, emails, and general enquiries in a professional and courteous manner.
- Prepare correspondence, reports, meeting agendas, minutes, presentations, and other administrative documents.
- Organise meetings, training sessions, and events, including booking venues and preparing materials.
- Maintain electronic and paper filing systems to ensure documentation is organised, accurate, and easily accessible.
- Monitor office supplies and arrange replenishment to ensure the efficient running of the department.
- Support managers with data collection, administrative reporting, and performance monitoring.
- Assist with quality improvement initiatives, audits, and service development projects.
- Ensure all documentation is completed accurately and within required timescales.
- Liaise with internal departments and external organisations to support effective communication and service delivery.
- Follow organisational policies relating to confidentiality, information governance, health and safety, equality and diversity, and infection prevention and control.
- Participate in team meetings, mandatory training, and continuous professional development.
- Undertake any other administrative duties appropriate to the role as directed by management.
Qualifications and ExperienceEssential
- GCSEs (or equivalent), including English and Mathematics.
- Previous experience in an administrative or office support role.
- Good IT skills and experience using standard office software.
- Excellent communication and organisational skills.
Desirable
- Previous experience working within a healthcare, social care, or public sector environment.
- SVQ Level 2 or 3 in Business Administration (or equivalent).
- Knowledge of healthcare terminology and administrative procedures.
- Understanding of confidentiality, data protection, and information governance principles.
Working Environment
- Office-based within a healthcare setting.
- Regular interaction with healthcare professionals, managers, support staff, clients, visitors, and external organisations.
