An excellent opportunity for a HR Administrator/Office Administrator to join our busy civil and structural engineering consultancy in Henley-on-Thames (soon to move to Maidenhead), with potential opportunities for career development and progress within the business. We are looking for someone who is confident and flexible with versatile skills. The role is full time and office-based.
The successful candidate will be joining a friendly support team who work across our 3 offices.
Duties include but not limited to:
· Recruitment
o Identifying prospective candidates through agencies and direct channels such as LinkedIn
o Arranging all interviews and providing feedback
o Regularly updating recruitment spreadsheet
o Interviewing Apprentices and Graduates
o Advertising roles on our website, LinkedIn and other job boards
· On-boarding of new staff
o Ensuring Right to Work checks are carried out for all new starters
o Assisting the administrators with all new starter set up
o Regularly updating Induction information and ensuring the smooth running of the Induction process
· Off-boarding of staff
o Ensuring exit interviews have taken place and reporting on findings
o Responsibility for checking with relevant administrator that all office equipment is returned
· HR Administration/Operations
o Ensuring all Return to Work forms are filled in and meetings held where required
o Assisting the HR Manager with the collation of Appraisal information and sending reminders
o Support and attend formal meetings, hearings, and investigations.
o All general HR Administration – updating employment records, absence management, updating Organograms etc.
o Assisting in organising office social events
o Organisation of all Career Fairs
o Assisting the administrators in answering the phones
· Health and Safety
o Assist the HR Manager and Gloucester Office Manager with all H&S Administration across the offices
· Training and development
o Updating company training spreadsheet regularly
o Assisting in the development of training documentation
· Ensure smooth running of the office :
o Order stationery and other supplies
o Manage office equipment and services together with associated contracts
o Assist with management of the premises
o Manage all utilities contracts
· Project administration
o Set up new projects on Deltek and Coretime and update records as required
o Assist with completion of supplier questionnaires
o Assist with production of project bids and new client proposals
o Review all project contracts (appointments and warranties). Work with the Gloucester Office Manager.
o File project documentation electronically
o Organise archiving of documents
· Office administration
o Deal with correspondence and telephone calls
o Produce documents as required
o Maintain office diaries / calendars
· Organise meetings, training sessions, travel arrangements
The successful candidate will be:
- An experienced administration professional with 3+ years’ experience in a similar role
- Experience in a similar role with a professional practice would be an advantage
- Experience working with Microsoft Office, specifically setting up templates in Word would be an advantage
- A confident user of IT generally and a competent user of Microsoft Office
- An excellent communicator, both verbal and written, as well as numerate
- Willing to take on a variety of tasks and look for opportunities to improve company practices
- A flexible and versatile team worker who recognises the importance of maintaining a stable and happy support team
