About the Role
We are looking for a friendly, organised and adaptable Receptionist / Administrator to join our Alternative Provision based on a working farm. This is a varied role where no two days are the same, combining reception duties with administrative support to help ensure the smooth day-to-day running of the provision.
As the first point of contact for visitors, parents, carers and professionals, you will provide a welcoming and professional service while supporting staff, maintaining accurate records and ensuring administrative processes run efficiently. You will play an important role in creating a safe, organised and positive environment for learners, colleagues and visitors.
Key Responsibilities
Reception and Front of House
- Welcome visitors, parents, carers, professionals and contractors in a friendly and professional manner.
- Ensure all visitors sign in and out and follow safeguarding procedures.
- Answer telephone calls, emails and general enquiries, directing them appropriately.
- Maintain a welcoming, organised and professional reception area.
- Support the daily arrival and departure of learners and visitors.
- Receive deliveries and distribute post as required.
Administration Support
- Provide general administrative support including filing, photocopying, scanning and data entry.
- Maintain accurate electronic and paper-based records.
- Prepare letters, reports, forms and other documentation.
- Support attendance monitoring and communication with parents and carers where appropriate.
- Assist with arranging meetings, appointments and maintaining shared calendars.
- Order and monitor stationery, office supplies and resources.
- Support the maintenance of learner records and other administrative systems.
· • Assist with the administration and coordination of Education, Health and Care Plan (EHCP) Annual Reviews, ensuring documentation is prepared, distributed and returned within Local Authority statutory timescales.
· • Liaise with education staff, families and external professionals to gather reports and evidence required for EHCP Annual Reviews.
· • Maintain accurate records of EHCP review dates, deadlines and associated documentation to ensure compliance with Local Authority requirements.

Supporting the Wider Team
- Work collaboratively with education, pastoral and farm staff to support the smooth running of the provision.
- Respond flexibly to the changing needs of the day.
- Assist with practical administrative tasks across the organisation when required.
- Communicate professionally with learners, families, colleagues and external agencies.
- Maintain confidentiality and handle sensitive information appropriately.
Safeguarding and Wellbeing
- Safeguard and promote the welfare of children and young people in line with organisational policies.
- Follow safeguarding, health and safety and site procedures at all times.
- Report concerns promptly to the appropriate member of staff.
- Ensure visitor procedures are followed consistently.
- Contribute to maintaining a safe, welcoming and inclusive environment.
Communication and Partnership Working
- Develop positive working relationships with colleagues, learners, families and partner agencies.
- Communicate clearly and professionally in person, by telephone and in writing.
- Support the sharing of accurate information across the team.
- Work collaboratively to continually improve administrative processes and learner experience.
Person Specification
Essential Experience
- Previous experience in an administrative, receptionist or customer service role.
- Excellent organisational skills and attention to detail.
- Strong written and verbal communication skills.
- Good IT skills, including Microsoft Office and data entry.
- Ability to prioritise workload and work effectively in a busy environment.
- Ability to maintain confidentiality and manage sensitive information.
- A flexible, positive and professional approach to work.
Desirable Experience
- Experience working within education, Alternative Provision or with young people.
- Experience using school management information systems or databases.
- Knowledge of safeguarding procedures.
- Experience working within a rural, outdoor or farm-based environment.

Qualifications
Essential
- GCSEs (or equivalent) in English and Maths.
- Good working knowledge of Microsoft Office applications.
Desirable
- Business Administration qualification or equivalent.
- First Aid qualification.
- Safeguarding training.
