As demand for our testing services continues to grow across our global laboratory network, we are seeking a Planning Coordinator to join our Logistics and Planning team in London.

As Planning Coordinator, you'll join a high-growth company operating at the forefront of supply chain transparency, one of the fastest-growing and most important markets in business today. You'll sit at the centre of Oritain's global laboratory network, managing the allocation and flow of samples to ensure they're directed to the most suitable lab based on capacity, capability and turnaround time. Acting as the central coordination point, you'll balance workloads, collaborate with logistics and collection teams for timely dispatch, and partner with lab managers and suppliers to maintain seamless operations, uphold chain-of-custody, and optimise resource utilisation. This prevents bottlenecks and ensures accurate, timely results for our customers.

Key Responsibilities
Planning & Coordination
Allocate and coordinate incoming samples across the global laboratory network, ensuring assignment based on capacity, capability, location and turnaround requirements.
Monitor workloads, balance demand, and collaborate with logistics and laboratory teams to maintain optimal flow, timely dispatch and quality standards.
Sample Management
Manage and maintain accurate sample shipment tracking and planning SOPs, ensuring compliance with Oritain's quality standards.
Coordinate with laboratories to confirm analysis capacity and timelines, supporting timely and efficient sample processing.
Supplier & Stakeholder Management
Collaborate with internal and external stakeholders to ensure requirements are clearly understood and met.
Coordinate shipments and keep stakeholders informed of timelines and delivery requirements for smooth execution.
Continuous Improvement
Drive reliability improvement initiatives across laboratories by leading root cause analysis, corrective actions and systemic process enhancements.
Use performance metrics and cross-functional collaboration to identify and implement projects that optimise efficiency and prevent recurrence of issues.
Risk & Performance Management
Implement a risk-based approach to managing operational reliability and lab performance, ensuring proactive mitigation of issues.
Track and report key metrics, providing actionable insights to senior leadership to support informed decision-making.
Personal Leadership & Stakeholder Engagement
Foster a high-performance, learning-oriented culture while promoting strong communication and training practices.
Collaborate with Operations, Laboratory Management and Technical Teams to ensure systems support service delivery goals.
Skills & Experience
Essential
Experience in sample coordination, production planning or a similar role.
Excellent communication skills, with confidence engaging across teams, time zones and cultures.
Highly organised and self-sufficient, able to prioritise effectively, with strong accuracy and attention to detail.
Proficiency with Microsoft Office and additional software tools.
Ability to work within a cross-functional team.
Demonstrated resilience in dynamic environments and proven experience applying continuous improvement principles.
Alignment with Oritain's values and ability to travel internationally as required.
Desirable
Knowledge of logistics operations and courier services.
Partnership development and vendor management.
Experience using GIS tools (e.g., ArcGIS, QGIS).
Familiarity with compliance standards for sample or sensitive material transport.
