We are seeking a highly organized and detail-oriented Office Administrator to join our team, this is an exciting opportunity for someone with a passion for hospitality.
As an Office Administrator, you will join a team that includes Events Administration and CRM Administration. Reporting to, supporting and working in conjunction with the Office Manager & Senior Event Administrators.
Role Requirements:
· Supporting the organisation, planning, diarising, of client tasting sessions.
· Liaising with other departments in the planning, administration and delivery process of all and any Tasting events.
· Ability to create menu proposals to company standard, sending in a timely manner with follow up administration as required.
· Overall responsibility for clear, effective, and timely administration and client liaison of entire event portfolio across the company for all Tastings.
· Ensure all events are planned and delivered to same company standard with same the service, client care and attention to detail.
· Effective time management of all administration and tasks with the ability to prioritise on a daily basis.
· Communicate to the wider company utilising existing CRM system and any or all administration systems already in place or otherwise.
· Control of client finances, ensuring all processes are followed whilst liaising with the accounts team to ensure all invoices are correct, up to date and paid in a timely fashion.
· Be adept across all company platforms, including but not limited to, Microsoft Office, Catersoft, Indesign and inhouse CRM system
· Assisting with collecting and checking final event paperwork produced by the administration team and adjusting accordingly. Preparing necessary requirements, including but not limited to stock, crockery, and glassware for upcoming events.
· Communication, both written and verbal to be always to a company standard when dealing with clients.
· Liaising with CRM developers during the build process of our new in-house CRM system.
· Attending meetings during the development and testing phases.
· Working on data entry on CRM systems.
· Maintenance of CRM Systems, ensure areas of responsibility are kept up to date.
· Testing of CRM systems.
