Job Overview
We are seeking a motivated and adaptable Patient Services Coordinator to join our busy and dynamic GP practice on a part-time basis (16 hours per week). This role combines front-of-house reception duties with administrative and patient triage responsibilities, playing a key role in ensuring the smooth flow of patient services.
The successful candidate will work across both practice sites and must be able to travel between locations. You will contribute to delivering high-quality patient care by managing appointment requests, supporting clinical teams, and maintaining efficient administrative processes.
Working Hours
- 16 hours per week (3 days out of 5, on a rota basis. 1 x ^hr & 2 x 6hr shifts)
- Shift patterns vary between:Morning shifts from 8:00am & Afternoon shifts until 6:30pm
- Rotas are issued one month in advance
- Flexibility to cover additional shifts when required is essential
Key Responsibilities
Patient Coordination & Triage
- Manage and triage patient appointment requests, primarily via online consultation systems (eConsults)
- Follow practice protocols and optimisation flowcharts to direct patients to appropriate clinical or administrative services
- Escalate clinical queries to GPs, nurses, or healthcare assistants where appropriate
Reception & Administrative Duties
- Provide front-line reception support, including patient interaction and appointment booking
- Undertake general administrative tasks such as scanning, filing and taking monies for private work
- Support wider team as required
Team Collaboration
- Work closely with clinical and non-clinical staff on a daily basis
- Act on direction from senior team members and management
- Attend training sessions, including system optimisation training
General Responsibilities
- Adhere to all practice policies, procedures, and relevant legislation
- Maintain strict confidentiality in line with Data Protection regulations and Caldicott principles
- Comply with Health & Safety requirements to ensure a safe working environment
- Report incidents, accidents, or near misses promptly
- Support safeguarding responsibilities and uphold equal opportunities principles
- Participate in mandatory training and continuous professional development
Person Specification
Essential Qualifications
- GCSE (or equivalent) in English and Mathematics
- Strong computer literacy (including Microsoft Office systems)
Essential Experience
- Experience in a customer service or receptionist role
- Experience working in a fast-paced environment
Desirable Experience
- Previous experience in a GP practice
- Familiarity with EMIS or SystemOne
