The Role
We are looking for an organised, proactive and reliable Office & Operations Administrator to join our team.
This is a varied role supporting the day-to-day running of the business and working closely with our Finance, Commercial and Operations teams.
We are looking for someone who takes ownership of their work, is comfortable juggling different priorities and enjoys being the person who keeps things organised and moving.
There is plenty of opportunity to learn about different areas of the business and develop the role over time.
Key Responsibilities
Your responsibilities will include:
- Managing general office administration and helping with the smooth day-to-day running of the office
- Monitoring company emails and maintaining important login and account information
- Updating employee clock-in information and internal spreadsheets
- Ordering and off-hiring plant when requested by the Operations team
- Maintaining plant hire, purchase order and internal cost-tracking records
- Liaising with suppliers and developing good working relationships
- Ordering equipment, cleaning materials and site consumables
- Monitoring stock levels and keeping records up to date
- Ordering office supplies
- Liaising with our IT support provider when required
- Setting up new welfare sites on our internal systems
- Creating relevant folders, timesheet records and spreadsheets for new sites
- Setting up new customers within Xero for invoicing
- Requesting and chasing welfare timesheets
- Inputting hours and submitting weekly information within required deadlines
- Supporting weekly and fortnightly payroll administration
- Checking subcontractor invoices against internal records
- Maintaining remittance records within Xero
- Filing invoices and maintaining records required for VAT
- Updating welfare invoicing information and invoice tracking sheets
- Preparing payment spreadsheets when required
Company Vehicle Administration
You will also help manage the administration of our company vehicle fleet, including:
- Booking MOTs and servicing when required
- Monitoring vehicles through our vehicle tracking system
- Keeping vehicle inspection records up to date
- Following up on reported vehicle faults and arranging repairs
- Maintaining the vehicle checks spreadsheet
- Creating vehicle information packs for new vehicles
Other Responsibilities
- Maintaining Constructionline information and renewals
- Supporting the Operations team with general administrative requirements
- Keeping company records, spreadsheets and systems accurate and up to date
- Helping improve administrative processes where appropriate
- Assisting with other reasonable office and operational tasks as the business requires
About You
We are looking for someone who is:
- Highly organised with good attention to detail
- Confident using computers, spreadsheets and online systems
- Comfortable working with Microsoft Office and/or Google Workspace
- Able to manage several tasks and deadlines at the same time
- Confident communicating with suppliers, employees and colleagues
- Reliable and willing to take responsibility for their own workload
- Comfortable chasing information when needed
- Positive, practical and willing to help
- Keen to learn and develop within the business
Experience using Xero would be beneficial but is not essential, as training can be provided.
Previous experience within construction, operations, office administration or a similar environment would also be useful but is not essential for the right person.

- £26,500 – £28,500 salary, depending on experience

Pay: £26,500.00-£28,500.00 per year
