Role Overview
We are looking for an organised, friendly, and proactive Receptionist / Sales Coordinator to join our team.
This is a customer-facing role where you'll be responsible for delivering an exceptional client experience while supporting the day-to-day running of the clinic and driving course and treatment bookings.
Key Responsibilities
Ensure the clinic is clean, tidy, and welcoming at all times.
Keep treatment and training rooms fully stocked with essential supplies.
Order and manage stock for booked client appointments.
Welcome and assist clients and students on arrival.
Manage appointment bookings and scheduling.
Recruit and coordinate models for student training sessions.
Book clients for Empire treatments.
Enrol students onto training courses.
Provide excellent customer service and support sales through effective communication and relationship building.
Duties
- Greet visitors, clients, and vendors warmly, providing exceptional customer service and guiding them through check-in procedures
- Manage incoming calls, emails, and inquiries promptly with professionalism and clarity
- Coordinate sales activities by preparing proposals, tracking leads, and maintaining client records using CRM (Customer Relationship Management) software
- Support sales team with administrative tasks such as scheduling appointments, preparing presentations using Microsoft PowerPoint and Word, and updating sales reports in Microsoft Excel
- Maintain organized records of all correspondence, transactions, and client interactions to ensure data accuracy and accessibility
- Assist in processing invoices, quotations, and purchase orders using Sage or similar accounting software
- Handle general administrative duties including filing, data entry, calendar management via Microsoft Outlook, and office supply inventory management
Skills
- Strong communication skills in English with the ability to interact confidently with clients and team members
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for documentation, reporting, and scheduling tasks
- Experience with CRM software for managing customer relationships and sales pipelines
- Knowledge of Sage or similar accounting systems for sales administration support
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Demonstrated computer literacy and IT skills to troubleshoot basic technical issues when needed
- Proven administrative experience with a focus on customer service excellence
- Strong time management skills to handle multiple responsibilities efficiently
- Ability to work collaboratively within a team while maintaining a high level of professionalism
