Office Coordinator

Operating from a modern office in Birchwood, Warrington, we are looking for an experienced Office Coordinator to join our team and play a key role in ensuring the smooth running of our service operations.
Role Overview
As Office Coordinator, you will be the central point of contact for managing service contracts and coordinating activities between our engineering team, clients, and third-party providers. This is a hands-on role requiring strong organisational skills, attention to detail, and the ability to work within a robust, technical environment.
Key Responsibilities
- Service Contract Management
- Oversee all service contracts, including scheduling engineer visits, tracking renewals, and ensuring compliance.
- Engineer Coordination
Plan and manage engineer schedules, arrange site visits, and ensure timely collection and distribution of post-visit reports.
Act as the primary contact for clients, handling enquiries, providing updates, and maintaining strong working relationships.Prepare and issue Risk Assessments and Method Statements (RAMS), ensuring all documentation meets required standards.Support invoicing, expense tracking, purchase orders, and basic financial reconciliation relating to service activities.Manage office supplies, facilities, and provide general administrative support to the wider teamMaintain and administer the company's ISO 9001 Quality Management System and ISO 14001 Environmental Management System, ensuring all documentation remains accurate, up to date, and compliant.Ideal Candidate

- Proven experience in an office coordination or administrative role within an engineering, maintenance, or technical environment.
- Confident working alongside engineers with an understanding of technical workflows and site operations.
- Highly organised, with the ability to manage multiple priorities in a growing business.
- Strong communication skills, both written and verbal.
- Proficient in Microsoft Office (Excel, Word, Outlook); experience with CRM or contract management systems is desirable.
- High level of accuracy and attention to detail, particularly with financial records and documentation.
- Right to work in the UK (a full UK driving licence is beneficial but not essential).
