Our client is a well-established and successful financial planning practice. They provide bespoke financial planning services to business owners, professionals and high-net-worth individuals, and are known for their expert advice, outstanding client service and long-term client relationships.
As the business continues to grow, they are looking for a proactive and highly organised Wealth Administrator to join their Operations team. This is an excellent opportunity for someone who thrives in a fast-paced, client-focused environment and takes real pride in delivering a first-class service.
As Wealth Administrator, you will play a central role in supporting the advisers and clients throughout the financial planning process. You will take ownership of the administration and processing of new business, ensuring applications are submitted accurately, progressed efficiently, and completed without unnecessary delay.
Working closely with advisers, clients and product providers, you will help deliver a seamless end-to-end client experience while maintaining high standards of accuracy and regulatory compliance.
- Submit new investment, pension and protection applications through the firm’s electronic business submission system.
- Monitor new business from submission through to completion, proactively managing each case to ensure smooth progress.
- Liaise with providers to obtain updates, resolve outstanding requirements and minimise delays.
- Chase outstanding documentation, transfer requests and provider information to ensure timely completion of applications.
- Keep advisers and clients informed of progress throughout the application process.
- Update client records and CRM systems once applications have completed.
- Take ownership of your business pipeline, ensuring all cases progress efficiently and accurately.
- Input and maintain accurate client information.
- Prepare high-quality client presentation packs and documentation for meetings and client signatures.
- Maintain accurate electronic client records and documentation.
- Support advisers with post-meeting administration and implementation of recommendations.
- Ensure all client documentation is processed in line with internal procedures and FCA requirements.
- Arrange weekly case review meetings with advisers to discuss pipeline progress and agree next actions.
- Act as a key point of contact for advisers, clients and providers regarding ongoing cases.
- Provide clients with timely, professional updates on the progress of their applications.
- Build strong working relationships with colleagues and external providers to support excellent client outcomes.
- Support the smooth day-to-day running of the office.
- Assist with stock management and ordering of office supplies.
- Contribute to continuous improvement of administrative processes and ways of working.
- Provide administrative support to the wider Operations team as required.
Essential
- Previous administration experience within financial services, wealth management or a professional services environment.
- Excellent organisational skills with the ability to manage multiple priorities.
- High level of attention to detail and accuracy.
- Strong written and verbal communication skills.
- Professional and confident telephone manner.
- Proficient in Microsoft Office, including Outlook, Word, Excel and Teams.
- Able to work proactively and independently while contributing positively to a team environment.
- High level of integrity and commitment to maintaining confidentiality.
Desirable
- Experience using CRM systems.
- Familiarity with wealth management platforms and electronic business submission systems.
- Understanding of investment, pension and protection products.
