Overview of role
The Client Management Administrator is a core member of the Revenue Control Team providing dedicated administrative support to fee earners and secretarial staff working on certain key client relationships. The role focuses on (1) billing, recovery and reporting, (2) document production, management and organization and (3) data management and project assistance.
Duties, Responsibilities & Person Specification
Client Management Administrator – Revenue Control
Salary Range US$50,000 – US$65,000
Maintaining accurate and complete client and matter records.
Liaising closely with fee earners and secretarial staff to prepare invoices in compliance with client billing policies and procedures and managing the production of invoices from start to finish.
Managing the upload of final invoices to the E-billing platform, monitoring platform and receivables reports to ensure action points are addressed and resolving queries, internally and externally, around invoices.
Assisting with periodic client-driven reporting.
Resolving queries, internally and externally, around overdue invoices.
Managing client directives in relation to client-specific billing policies and procedures and ensuring all directives are communicated to the relevant fee earners and secretarial staff and documented appropriately.
Assisting with the production, review, modification and organization of documentation, including maintaining precedent documents.
Assisting with routine administrative and data management tasks as required, including assisting on legal and regulatory projects arising from time to time.
Education, Skills & Experience
3-5 years of relevant work experience, or an equivalent combination of education and experience.
Excellent interpersonal, organizational, written, and verbal communication skills.
Ability to build and maintain strong professional relationships with legal professionals, clients, and internal stakeholders at all levels.
Demonstrated ability to develop and maintain external client relationships while delivering a high standard of client service.
Proactive, adaptable, and solutions-oriented mindset with the ability to work effectively in a fast-paced, dynamic environment.
Strong attention to detail and the ability to manage competing priorities while maintaining accuracy under pressure.
Calm, confident, and professional approach with excellent judgment and decision-making skills.
Experience with Aderant/Adex billing is essential.
Experience with e-billing platforms is an asset.
Experience within the legal or financial services industry would be advantageous.
Advanced proficiency in Microsoft Office Suite.
