The Business Administrator is responsible for ensuring the smooth day-to-day operation of the office by managing an array of administrative tasks, coordinating office activities, and maintaining organized records and systems.
This is a multi-faceted role, reporting to the Business Operations and Purchasing manager, but also supporting wider members of the management team. As a result, there are opportunities to provide project management and financial administrative support.
Part time: 25 hours per week
Key Responsibilities
- Provide general administrative support to managers and senior managers.
- Prepare reports, presentations, and other business documents for managers.
- Handle incoming calls, emails, and correspondence from various stakeholders.
- Maintain office records, files, and databases to ensure ongoing compliance.
- Schedule meetings, appointments, and travel arrangements where necessary.
- Support the Business Operations and Procurement Manager by raising purchase orders and ordering production parts when required.
- Coordinate with vendors, service providers, and external stakeholders.
- Assist the financial controller with budget tracking, invoice processing, expense reporting and cash flow tracking.
- Provide support to the project manager by maintaining and updating basic project documentation, pulling appropriate materials together for meetings and tracking timesheets to ensure they are allocated to the correct project codes.
Additional Administrative Duties
From time to time there may be a need to support the Business Operations and Purchasing Manager with other areas within the team’s remit. These could include:
- Support HR activities including onboarding administration, maintaining employee records and ensuring online e-learning courses are completed and logged.
- Co-manage daily office operations and administrative activities.
Required Qualifications
- Proven experience in an administrative, office management, or similar role.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience with Teams and Sharepoint.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential information professionally.
- BE able to pass a BPSS security check
