An overview of the role
The Facilities team is responsible for supporting the day-to-day operation of the Worcester office, whilst also assisting with activities across the wider property portfolio.
The role of the Facilities Assistant is to support the Facilities Manager and wider Open GI employees to ensure the operations of the buildings run efficiently during core working hours.
Your key responsibilities

Provide day-to-day operational support across the Open GI office, ensuring a safe, compliant and professional working environment for employees and visitors.

Conduct routine building inspections, identifying defects, hazards and maintenance requirements, and update the Facilities Ticket System process.

Support the management of planned preventative maintenance (PPM), statutory compliance activities and reactive maintenance, liaising with contractors to ensure works are completed safely and to the required standard.

Restock and servicing of vending functions within the offices and ensure requests are sent to the Facilities Manager

Manage and monitor stationary cupboards within the offices and advise the Facilities Manager on requirements

Assist with contractor management, including site inductions, permit-to-work administration, access arrangements and monitoring works on site.

Support office moves, desk relocations and workplace reconfigurations to meet changing business requirements.

Maintain meeting rooms, communal areas, kitchens and welfare facilities to ensure they remain clean, stocked, functional and presentable.
- Ensure catering requests for the Conference room are provided for Executive Meetings in advance

Manage incoming deliveries and assist with the movement and storage of equipment and office supplies.

Carry out regular health and safety inspections and reporting hazards to the Facilities Manager.

Build effective relationships with colleagues, suppliers and contractors, delivering a high standard of customer service and responding promptly to facilities requests.

Work collaboratively with the Facilities Manager and wider People Team to ensure continuity of service, providing flexible support across sites and assisting with annual leave and sickness cover where required.

Provide Reception, Front of House cover for Security when on breaks or patrols

Undertake any other reasonable duties commensurate with the role to support the effective operation of the Facilities function.
What you'll need to succeed
Experience

Experience of working within a commercial environment

Experience of performing manual handling duties

Previous experience within Front of House or Facilities Management (desirable)

Experience using Microsoft Office and External Software
Qualifications

Full valid driving licence and able to drive transit vans

GCSE English and Maths (or equivalent) at grade C or above (desirable)
- First Aid trained (desirable)
