About the role
We are looking for a highly organised, detail-oriented, and proactive Data & Operations Coordinator to support our day-to-day business operations and internal systems.
Key Responsibilities
· Maintain, optimise, and improve the company's internal databases and data structure to ensure accuracy, efficiency, and security.
· Enter, update, and manage customer information, accommodation details, and other operational records.
· Prepare and issue tenancy/accommodation agreements, confirmation documents, invoices, and receipts for clients.
· Manage and maintain office IT equipment, including computers, printers, and other hardware, and coordinate basic troubleshooting when required.
· Administer company IT accounts, including email accounts, network access, and onboarding/offboarding of employees.
· Set up IT equipment, software, and user accounts for new employees.
· Register, manage, and maintain company software subscriptions and user accounts.
· Manage user permissions and access rights for internal systems, operational platforms, cloud storage, and document management systems.
· Maintain backend administration for company operational systems and ensure data integrity.
· Support the CEO with operational projects and other business administration tasks as required.
· Continuously identify opportunities to improve internal workflows and operational efficiency.
About You
· Excellent organisational skills with strong attention to detail.
· Strong computer literacy and confidence working with databases and business software.
· Proficiency in Microsoft Office 365, Google Workspace, and cloud-based collaboration tools.
· Comfortable learning and managing multiple internal systems and software platforms.
· Good problem-solving skills and the ability to work independently.
· Strong written and verbal communication skills in English and Chinese.
· Previous experience in data management, or IT Administration is preferred.
· Experience with CRM systems, database management, Microsoft 365 Admin, Google Workspace Admin, or similar platforms would be an advantage.
