Job Summary
We are seeking a highly organised and detail-oriented Administrative Assistant to support our Renewable Energy Operations team. This is a key operational role responsible for coordinating surveys, scheduling installations, ordering materials, and supporting the successful delivery of renewable energy projects from initial enquiry through to completion.
The successful candidate will have strong administrative and scheduling experience, excellent communication skills, and a solid understanding of renewable energy systems. Knowledge of Solar PV, Battery Storage, Air Source Heat Pumps (ASHP), and related technologies is essential.
Duties
- Manage and coordinate survey bookings for domestic and commercial renewable energy projects.
- Schedule and oversee survey appointments, ensuring efficient allocation of surveyors and resources.
- Liaise with customers to arrange, confirm, and update survey and installation appointments.
- Review survey outcomes and ensure all relevant information is accurately recorded.
- Coordinate installation schedules with customers, installers, and project managers.
- Order materials and equipment required for installations, ensuring timely delivery.
- Liaise with suppliers regarding quotations, stock availability, deliveries, and lead times.
- Monitor project progress and assist in resolving scheduling or operational issues.
- Maintain accurate records using CRM and project management systems.
- Prepare and manage project documentation, compliance paperwork, and installation records.
- Provide regular updates to customers regarding project status and timelines.
- Support the Operations Team in ensuring projects are delivered efficiently and on schedule.
- Assist with general administrative duties and operational reporting as required.
Skills
- Previous experience in an Administrative, Operations, Scheduling, Coordinator, or Office Support role.
- Strong organisational and time-management skills.
- Excellent communication and customer service skills.
- Ability to manage multiple tasks and projects simultaneously.
- Proficiency in Microsoft Office, including Outlook, Excel, and Word.
- Experience using CRM systems and scheduling software.
- Strong attention to detail and problem-solving abilities.
- Knowledge of renewable energy systems is essential.
Desirable:
- Experience working within the renewable energy, construction, electrical, or property sectors.
- Experience coordinating field engineers, surveyors, or installation teams.
