We are looking for a proactive, well-organised Administrator to join the Emeg Group team in Chesterfield. This is a varied, hands-on role that sits at the heart of our day-to-day operations, providing essential support across procurement, document control, finance administration, and general business administration. The administrator will also be responsible for supporting on reception in busy periods where we have visitors.
You will work closely with project managers, site teams, business leads, and the senior management team across our rail depot, commercial M&E, and renewable energy divisions. No two days will be the same — you will need to be adaptable, detail-oriented, and comfortable switching between tasks as business needs evolve. This is an excellent opportunity for someone looking to build broad commercial and operational experience within a growing, multi-disciplinary group.
Key Responsibilities & Duties
Procurement Support
- Raise, issue, and track purchase orders across Emeg Group divisions, ensuring all orders are correctly authorised and coded to the relevant project or cost centre.
- Monitor open orders, chase outstanding deliveries, and resolve supplier queries in a timely manner.
- Maintain and update the approved supplier list, including onboarding checks and periodic reviews.
- Check and process delivery notes and supplier invoices, matching to purchase orders and flagging discrepancies to the finance team.
Receptionist
- Take general incoming calls and triage activity and log calls
- Ensure visitors sign in and out of the office
- General support in meetings where visitors are attending the office face to face
Document Control & Management
- Maintain and update controlled document registers across projects and business functions, ensuring version control is adhered to.
- Issue, track, and file project documentation including method statements, risk assessments, O&M manuals, and handover packs.
- Update internal templates, standard forms, and process documents as directed by management.
- Ensure all documentation is accurately stored, easily retrievable, and meets internal and client requirements.
General Administration
- Provide day-to-day administrative support to the senior management team and business leads.
- Manage incoming and outgoing correspondence, including post, email inboxes, and courier services.
- Maintain internal systems, trackers, and databases, ensuring information is accurate and up to date.
- Support the coordination of meetings, including preparing agendas, taking minutes, and following up on actions.
- Monitor and reorder office supplies, stationery, and consumables as required.
- Take incoming calls and triage where necessary throughout the business
- Assist with ad hoc tasks and projects to support the wider Emeg Group as the business grows.
Skills and Qualifications
Administration Experience
Previous experience in a broad administrative role is essential. A background in construction, engineering, rail, or a project-based environment is highly desirable but not essential — we are happy to support the right candidate in developing industry knowledge.
IT Skills
Proficient in Microsoft Office, particularly Word, Excel, and Outlook. Experience with document management systems, procurement software, or accountancy packages such as is an advantage.
Organisation & Attention to Detail
Highly organised with the ability to manage multiple workstreams simultaneously and prioritise effectively under pressure. A methodical approach to document management and record-keeping is essential.
Communication
Clear and professional communicator, both written and verbal, with the confidence to liaise with suppliers, subcontractors, clients, and internal teams at all levels.
Adaptability
Comfortable working in a fast-moving, varied environment where priorities can shift. A positive, can-do attitude and willingness to turn your hand to whatever the business needs are key to succeeding in this role.
