The Role
The Trainee Procurement Administrator will support the procurement function by managing the day-to-day purchasing process, maintaining supplier coordination, and ensuring accurate stock control. This role is key to ensuring materials and goods are ordered, delivered, and recorded efficiently to support business operations.
Key Responsibilities
Procurement & Purchasing
- Respond to purchase requisitions
- Raise purchase orders
- Issue and review supplier pre-qualification questionnaires (PQQs)
- Set up new suppliers on the procurement system
- Liaise with suppliers to resolve pricing, delivery, or quality issues
- Assist in obtaining and comparing quotations from suppliers
Stock & Inventory Control
- Post stores requisition forms onto the stock system and investigate any discrepancies
- Post stores deliveries onto the stock system
- Record all goods received and issued accurately within the stock system
- Maintain accurate stock levels, ensuring shortages and overstock situations are minimised
- Reconcile inventory records following stocktakes
Logistics & Delivery Tracking
- Track deliveries to ensure alignment with project timelines
- Receive and process proof of delivery (POD) documentation
Planning & Coordination
- Work closely with the Procurement Manager and Warehouse Supervisor to forecast material requirements
- Escalate issues or risks to the Procurement Manager as required
General Support
- Carry out ad hoc procurement duties as required
Experience & Qualities
Essential:
- Minimum 5 GCSEs (or equivalent) with Grade 4/C or above including English and Maths
- Further education such as A levels (A*-C), BTEC (merit or above) or equivalent
- Strong interest in developing a career in procurement or purchasing
- Excellent attention to detail
- Confident working with numbers and maintaining accurate records
- Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines
- Excellent written and verbal communication skills
- Strong IT skills and confidence using Microsoft Office, particularly Excel and Google Sheets
- Positive attitude with a willingness to learn and take on new responsibilities
- Ability to work both independently and as part of a team.
Desirable:
- Experience working in an office environment
- Experience or knowledge of procurement
- Interest in working towards a procurement qualification such as CIPS
- University degree or equivalent
