Senior Operations Assistant
£28,000 - £30,000
The Great Barn is an exclusive use wedding venue on the Northamptonshire/Oxfordshire border.
Job Title: Senior Operations Assistant
Hours of Work: 40 hours per week balanced across the year | 45-50 hours per week from April to October | 30-35 hours per week from November to March. Your working week will include weekends, daytime, evening and flexible working hours as and when the business requires.

Overview
The Senior Operations Assistant will work under the general guidance of the General Manager, and very closely with the Wedding and Events Managers who are the links with every wedding couple. Working together to maximise guest satisfaction and venue profitability by managing the events function. You will also lead your team of Operations Assistants and ensuring that they are carrying out their roles correctly.
List of Key Responsibilities
1. Lead a team of Operations Assistants alongside the GM. You must offer support, training and guidance in all areas of the operations role. Your role is to help develop our operations team to build their confidence and help their progression within the business.
2. You should work very closely with all HOD’s to ensure clear communication is happening.
3. You should be willing to suggest ideas to help improve the efficiency and quality of what we offer where needed. This can be shared across all venues, and you should be willing to help train and develop all operation teams across the Group.
4. You should have a close eye on product prices and highlight to the GM where prices are changing.
5. Actively listen to customers and stay aware of the trends and products being discussed across the industry.
6. Work as part of the venue team in the delivery of all events, including food and bar service.
7. Work as part of the venue team to logistically plan for events. You will need to manage logistics to ensure orders, deliveries, cleaning, planning sheets are ready for the delivery of each event.
8. You must always lead by example, maintaining a good work ethic, smart presentation, positive teamwork, strong communication skills and friendly, pro-active engagement with customers and guests.
9. Works pro-actively to minimise complaints from guests.
10. Ensure the information for all events has been processed, ordered and delivered as per the customer’s requirements. You must maintain a strong line of communication with all other members of the team to ensure this happens.
11. Ensures room is set up in accordance with customer specifications and inspect function rooms prior to events, and checks room comfort, lighting, equipment, temperature and cleanliness.
12. Informs guests and staff of applicable liquor laws, venue rules and limitations within policies and guidelines.
13. You will be required to understand the venue Risk Assessment and manage the potential of any breaches or identify where new risks may occur. This must be communicated clearly to those involved and discussed directly with your General Manager.
14. Ensure all venue checks are kept up to date, in line with our Health & Safety measures & venue procedures.
15. Understand the Food & Beverage that we serve, in line with company spec sheets, ingredients and allergy lists. Ensure this is communicated to your team before service.
16. Conduct daily inspections of the venue facilities to ensure they are kept in the best condition. All issues must be reported to the General Manager.
17. Continuously seeks to improve the venue’s efficient operation, and knowledge of own job function.
18. Key holder responsibilities especially locking up the venue at night.
19. Gain knowledge of all venue equipment, including technical equipment e.g. lighting, microphone & Air Con.
20. To ensure regular stocktakes are conducted and to control stock and wastage.
21. You will be required to carry out customer show rounds and help at sales events.
22. Assist and stand in for other team members as required to ensure the efficient operation of the business. This may involve travelling to other venues within the group.
23. To attend weekly function meetings.
24. Assist in promotional and marketing activities as required.
25. Attend workshops, exhibitions and promotional events where required.
