Sales, Marketing & Operations Assistant
Part-Time – 21.5 Hours per Week
£12.71–£15.00 per hour depending on experience and additional skills
Potential to develop into a full-time position
About the Role
We are looking for an organised, adaptable and proactive person to join our small but growing industrial products business.
This is a genuinely varied, multi-purpose role covering administration, order processing, sales support, customer communication and general day-to-day operations.
We are a small team, and we all muck in where needed. We're therefore looking for someone who enjoys variety, takes initiative and is happy to help across different areas of the business rather than being restricted to a narrow job description.
The position will initially be 21.5 hours per week, with genuine potential for the role to increase in responsibility and ultimately develop into a full-time position as the company grows.
For candidates with additional experience in marketing, social media, graphic design, photography or videography, there is also an opportunity to incorporate these skills into the position, with higher starting pay available depending on experience and capabilities.
Administration & Order Processing
A major part of the position will involve supporting the everyday administration and order-processing side of the business.
Responsibilities will include:
- Processing customer orders accurately and efficiently
- Creating sales invoices
- Printing packing slips and order documentation
- Preparing and sending customer quotations
- Maintaining accurate customer and order records
- Responding to customer emails and telephone enquiries
- Updating customer information and internal systems
- Filing and maintaining organised business records
- General office administration
- Assisting management and the wider team with day-to-day administrative tasks
Experience using Xero or similar accounting/order-processing software would be advantageous, although training can be provided.
Sales Administration & Reporting
You will also help us maintain accurate information on our sales activity and support both management and our sales representatives.
This will include:
- Maintaining sales spreadsheets
- Recording sales generated by individual sales representatives
- Keeping an accurate running tally of representative sales
- Monitoring sales performance and activity
- Producing a clear monthly sales report
- Maintaining customer and prospect databases
- Monitoring quotations and outstanding opportunities
- Identifying customers or quotations requiring follow-up
- Supporting sales representatives with information and administration
- Assisting management with sales figures and basic reporting
Good knowledge of Microsoft Excel, Google Sheets or similar spreadsheet software would be highly desirable.
You don't need to be an accountant or data analyst. We're looking for someone who is comfortable working with numbers, keeping information accurate and organised, and turning that information into straightforward reports.
Customer Service & Sales Support
As you learn our products and customers, you'll also become involved in supporting our sales activity.
This may include:
- Speaking with existing customers
- Answering basic product and order enquiries
- Following up quotations
- Contacting existing customers
- Sales outreach to potential customers
- Following up leads and enquiries
- Supporting our external sales representatives
- Helping maintain strong customer relationships
- Identifying potential sales opportunities and passing them to the appropriate team member
Full training on our products and industries will be provided.
Packing, Stock & Dispatch
This isn't a purely desk-based administration position.
As part of a small team, there will be times when everyone helps with the practical side of getting customer orders out of the door.
This may include:
- Picking and packing customer orders
- Printing and checking packing documentation
- Preparing parcels for courier collection
- Checking incoming and outgoing stock
- Helping maintain organised stock areas
- Assisting with stock counts
- General warehouse and dispatch support when required
Marketing & Creative Skills – Added Bonus
Marketing and creative experience is not essential for the core position, but it would be a significant advantage.
We would be particularly interested in candidates with experience or ability in areas such as:
- Social media management
- Creating social media content
- B2B marketing
- LinkedIn marketing
- Graphic design
- Canva, Adobe Creative Suite or similar software
- Product photography
- Videography
- Video editing
- Creating short-form promotional content
- Email marketing
- Website content
- Creating brochures, flyers and product literature
- Developing marketing campaigns
If you have a portfolio or examples of previous creative or marketing work, we'd be very interested in seeing them.
A candidate who combines strong administration and organisational skills with genuine marketing, design or video capabilities may be offered a higher starting rate and broader responsibilities.
What We're Looking For
We're more interested in finding the right person with the right attitude than someone who ticks every single box.
Ideally, you'll be:
- Organised and methodical
- Reliable and punctual
- Accurate and attentive to detail
- Confident using computers and office software
- Comfortable working with spreadsheets and figures
- Confident communicating by telephone and email
- Friendly and professional with customers
- Able to manage several different tasks
- Comfortable working independently
- Able to use your own initiative
- Willing to learn new products and systems
- Commercially minded
- Happy to work across both office and practical tasks
- Someone who sees something that needs doing and is willing to help
Previous experience in administration, sales support, customer service, order processing or office operations would be beneficial but isn't essential for the right person.
A Typical Day
One of the main attractions of this position is that no two days will necessarily be the same.
You might start the morning processing customer orders, creating invoices and printing packing slips.
You could then update the sales spreadsheet and check sales generated by our representatives before following up a few outstanding customer quotations.
Later, you might help pack several orders ready for collection.
If you have marketing or creative skills, part of another day could involve creating a social media post, designing a promotional graphic, photographing a new product or helping produce a video.
We're looking for someone who will enjoy that variety.
Hours
21.5 hours per week – Part-Time
Exact working days/hours can be discussed with the successful candidate.
The role is initially part-time, but there is genuine potential for the hours to increase and the position to become full-time as the business continues to expand.
Pay
£12.71–£15.00 per hour depending on experience and capabilities.
Someone joining primarily in an administration and support capacity would typically start toward the lower end of the range.
Candidates bringing additional experience in areas such as sales administration, Excel/reporting, marketing, graphic design, social media, photography or videography may attract a higher starting rate.
Pay will also have scope to be reviewed as the person's responsibilities and contribution to the business develop.
Opportunity to Grow With Us
We're a small team building a growing business, and we're looking for someone who wants to become a genuine part of that growth.
For the right person, this isn't intended to remain a basic part-time administrative position indefinitely.
As you learn the business and demonstrate your strengths, there will be opportunities to take ownership of areas of the operation, increase your hours and responsibilities and potentially progress into a larger full-time role.
If you're adaptable, organised, willing to learn and like the idea of joining a business where you can grow with the company and make the role your own, we'd like to hear from you.
Pay: £12.71-£15.50 per hour
Benefits:
- Casual dress
- Company pension
- Free parking
- On-site parking
Work Location: In person
