Job Summary
We’re looking for a motivated, organised, and detail‑driven Administrative Assistant to join our growing team. The successful candidate will support day to day business operations by coordinating general buying processes, validating internal data and ensuring accurate and timely invoicing for customers. This role suits someone who is detail driven, organised, and confident managing multiple workflows that directly impact financial and operational performance.
Roles and Responsibilities
- Manage general buying activities, including raising purchase orders, obtaining quotes, and liaising with suppliers.
- Track order progress, delivery timelines, and resolve discrepancies with vendors.
- Maintain accurate purchasing records and update internal systems with supplier information.
- Support cost saving initiatives by comparing supplier options and monitoring spend.
- Review, verify, and update business data across internal systems.
- Ensure accuracy of product, pricing, and customer information before it enters operational workflows.
- Identify data inconsistencies and work with relevant teams to correct them.
- Prepare and issue customer invoices
- Respond to customer queries regarding billing and provide clear, timely resolutions.
- Manage incoming calls with professional phone etiquette and direct them appropriately
- Coordinate office supplies procurement to ensure operational efficiency
- Provide general administrative support to team members as needed
Requirements
- Proficiency in computer skills, including Microsoft Office (Word, Excel)
- Strong attention to detail and accuracy
