Title: Practice/Office Manager
Hours: 9:00AM to 5:00PM Monday to Friday, 1 hour for lunch
Duration: Full-Time, permanent position
Holidays: From 20 days per annum, pro rata, January to December inclusive, in addition to usual bank/public holidays
Pension: Company Pension Scheme is available to all employees upon attaining the age of 18 and after 1 years service – 3% employer contribution and 4x death in service benefit.
Main purpose of job
To manage and provide direct support to the firm to enable all employees to operate at optimum efficiency. To manage the day to day operations of the offices and the business and ensure it’s smooth operation.
Key tasks include
- Human Resources: overseeing recruitment, onboarding, and performance evaluation processes for all staff. This includes being involved in hiring, inductions, training and professional development, probation meetings, performance reviews etc. Assisting Finance Manager with payroll as and when required.
- Operations: handling the day-to-day operational aspects of the firm such as office management, facilities and technology – ensuring that the firm has the necessary resources and infrastructure to support its legal work.
- Compliance: making sure that the firm complies with all relevant laws, regulations and ethical standards. This includes overseeing compliance with SRA rules, data protection (GDPR), AML, professional indemnity insurance and develop and maintain an excellent understanding of the CQS quality standard requirements.
- Risk Management: identifying and mitigating potential risks to the firm, such as legal malpractice risks or cybersecurity threats, which is an important aspect of the role. Taking control of internal AML risks and reports and liaising with the Finance Manager and the MLRO.
- Marketing and Business Development: being involved in marketing and business development efforts to attract new clients and grow the firm’s client base.
- Suppliers and Contractors: liaise with current and new suppliers and contractors, developing effective relationships and ensuring good value and service.
- Insurances: Manage all insurance for the firm including PI Insurance.
- Panels: Dealing with CQS requirements including the firm’s annual renewal. Dealing with the firm’s mortgage panel applications as necessary and dealing with all LMS and Lender Exchange requirements including the firm’s annual renewals.
- Management: attend departmental management meetings and management meetings and prepare agendas and minutes
- Training: Dealing with training requirements for all members of staff.
Plus any other tasks that may reasonably be required.
Experience and Personal Qualities
· Management experience within a law firm.
· An understanding of a law firms operations and the compliance framework within which they operate.
· Knowledge of Solicitors accounts rules and financial operations.
· Familiarity with Lexcel & CQS.
· Strong leadership skills with the ability to command respect quickly but avoiding confrontation.
· The jobholder must display a pleasant manner in dealing with colleagues, contacts and clients.
· An effective communicator, both numerate and literate.
· Have a positive, ambitious attitude.
· Reliable, committed, loyal and hardworking.
· IT literate and capable.
· Excellent attention to detail.
Pay: £35,000.00-£40,000.00 per year
