Job Purpose
The Logistics Coordinator plays a key role in ensuring the efficient movement of goods into, through and out of the business.
Working closely with the Production Manager and wider operational teams, the role is responsible for coordinating inbound and outbound shipments, maintaining accurate logistics and inventory records, preparing shipping and customs documentation, and supporting the day-to-day operation of the warehouse.
The Logistics Coordinator will also manage a portfolio of customer and logistic requirements from initial order or contract stage through to final delivery and payment. This includes coordinating sea and air freight, working with our logistics hub in the USA, and supporting fulfilment directly from Flare HQ.
Accuracy, organisation and proactive communication are essential to ensure goods are delivered on time, documentation is correct, and all activities comply with relevant import, export and health and safety requirements.
Key Responsibilities
Logistics and Shipping
- Coordinate inbound and outbound shipments to ensure goods are delivered accurately and on time.
- Coordinate sea freight, air freight, courier and other transport requirements.
- Liaise with freight forwarders, carriers, suppliers, customers and other logistic partners.
- Work closely with our logistics hub in the USA and coordinate fulfilment requirements from Flare HQ.
- Manage assigned logistics requirements from initial order or contract stage through to delivery and payment.
- Track shipments and proactively communicate delays, issues or changes to relevant stakeholders.
- Ensure the correct shipping documentation is prepared and available for each consignment.
- Coordinate the receipt, preparation, packing and dispatch of goods.
- Ensure products and parts are packed and presented to the standards required by the business and our customers.
Import and Export Compliance
- Prepare and process customs documentation for imports and exports.
- Ensure shipping and customs documentation is complete and accurate.
- Support compliance with relevant import, export and customs legislation.
- Maintain appropriate records relating to international shipments.
- Work with logistics partners to resolve customs, clearance or documentation queries.
Warehouse and Inventory
- Support the receipt, checking, storage and movement of incoming goods.
- Complete goods receipt and validation checks and maintain accurate system records.
- Maintain accurate inventory records and support full stock accuracy.
- Ensure appropriate stock rotation, including FIFO principles where applicable.
- Work with the Production Manager to ensure effective use of warehouse and storage space.
- Support inventory checks and stocktakes as required.
- Assist with planning future storage and capacity requirements.
- Provide the factory and production teams with packaging, raw materials and other logistics support as required.
- Carry out manual handling activities safely and appropriately.
- Where trained and authorised, operate Bendi forklift trucks and other mechanical handling equipment.
- Provide support to the Production team with regards to packaging and raw materials.
Systems and Administration
- Maintain accurate logistics, shipment and inventory records using company systems.
- Complete data entry accurately and in a timely manner.
- Maintain and update Excel workbooks used to manage shipments, stock and logistics activities.
- Use relevant MRP, ERP or Transportation Management Systems where required.
- Ensure relevant documentation is appropriately filed and readily accessible.
Communication and Coordination
- Build effective working relationships with suppliers, freight partners, carriers and internal departments.
- Communicate professionally with customers and external partners by telephone, email and other appropriate channels.
- Work closely with Production, Operations, Finance and other departments to ensure logistics activities support wider business requirements.
- Investigate and help resolve delivery, inventory, documentation and shipment discrepancies.
- Escalate significant issues or risks to the Production Manager where appropriate.
Health, Safety and Housekeeping
- Work with the Production Manager to maintain high standards of health, safety, hygiene and security within the warehouse and work environment.
- Follow all company health and safety procedures.
- Maintain a clean, organised and professional working environment.
- Ensure goods and materials are stored safely and appropriately.
- Support the security of company stock, equipment and premises.
- Carry out general housekeeping duties within the logistics and warehouse areas.
- Monitor, manage and accurately maintain records relating to waste and recycling.
Essential Requirements
- Strong organisational skills with the ability to manage multiple priorities simultaneously.
- Ability to deputise for the Production Manager in their absence.
- Experience using Sage and Linnworks.
- Excellent attention to detail and a high level of accuracy.
- Good written and verbal communication skills.
- Confident and professional telephone and email communication.
- Competent in Microsoft 365 applications, particularly Microsoft Excel.
- Ability to maintain accurate records and work confidently with data.
- Ability to work effectively under pressure and meet deadlines.
- Self-motivated, proactive and able to use initiative.
- Ability to work independently as well as collaboratively as part of a team.
- A practical and forward-thinking approach to problem solving.

- Due to the location of Flare HQ, a full driving licence and access to a vehicle are required.
Desirable Requirements
- Previous experience within logistics, shipping, warehousing or supply chain operations.
- Experience coordinating international sea and air freight.
- Knowledge of UK import and export processes and customs documentation.
- Previous experience working with freight forwarders and international logistics partners.
- Experience with Shopify.
- Experience operating a Bendi forklift truck or other mechanical handling equipment.
- Previous experience within a manufacturing, production or fulfilment environment.
