About the role
Ecoflam UK is looking for a Sales Administration Specialist to join our UK Sales Office.
This is an important role within the sales team, acting as a key link between sales representatives, customers and our central office. You'll play a hands-on role in managing the complete order process, from quotations and order entry through to delivery, while ensuring customers receive a professional and responsive service throughout.
You'll be responsible for helping to keep our UK & Ireland orders moving efficiently, working closely with colleagues across Sales, Logistics, Warehouse, Finance and Technical teams.

What you'll be doing
Process and verify customer orders accurately and efficiently using internal systems.
Prepare and issue quotations, order confirmations, and sales documentation.
Liaise with customers regarding product availability, pricing, lead times, and delivery updates.
Coordinate with logistics, warehouse, finance, and technical departments to ensure smooth order fulfilment.
Support the external sales team with administrative and operational tasks.
Maintain accurate customer and sales records within internal systems.
Handle customer enquiries and order acknowledgements professionally via phone and email.
Monitor outstanding orders and proactively communicate any delays or issues.
Assist with forecasting, reporting, and weekly sales data analysis.
Support key account administration and project tracking activities.
Ensure compliance with company procedures, pricing structures, and commercial policies.
Any other reasonable tasks assigned within the Sales Administration area of responsibility.
What we're looking for
We're looking for someone who is organised, reliable and customer-focused, with the ability to manage multiple priorities while maintaining a high level of accuracy.
You'll ideally have:
At least 2 years' experience in sales administration.
Experience of order processing within a busy commercial environment.
Strong customer service and communication skills, both written and verbal.
Good attention to detail and the ability to work accurately with pricing, orders and customer information.
Experience using Microsoft Excel.
Experience using SAP and/or CRM systems.
The ability to build effective working relationships with customers, sales colleagues and internal departments.
A proactive approach to identifying and resolving issues rather than simply passing them on.
GCSE Maths and English at Grade C/Level 4 or above, or equivalent.
Experience within the heating, HVAC, engineering or technical products industry would be an advantage, but isn't essential.
