The Role
We are looking for a part-time Appointment Planning & Booking Assistant to join our Agricultural Compliance team to provide maternity cover over three days a week.
This is an excellent opportunity for an organised, proactive and personable individual with strong administrative and communication skills. Working closely with our Appointment Manager, you will help coordinate appointments for our team of Agricultural Advisers, liaising with clients to arrange convenient dates, assisting with diary management and supporting the planning of efficient travel schedules across England and Wales.
As part of the role, you'll help ensure advisers have well-planned itineraries, respond to changes in schedules, maintain accurate records and provide a high standard of customer service to our clients.
The role also includes answering telephone calls, responding to client enquiries and providing general administrative support to the Agricultural Compliance team.
Key Responsibilities
- Assisting the Appointment Manager with planning and coordinating appointments for Agricultural Advisers.
- Contacting clients to arrange, confirm and amend appointments.
- Helping to manage adviser diaries and schedules efficiently.
- Assisting with planning travel routes and preparing detailed daily itineraries.
- Liaising with clients, advisers and colleagues to ensure appointments run smoothly.
- Responding to changes in schedules and reorganising appointments where required.
- Preparing and sending appointment confirmations and related correspondence.
- Maintaining accurate client records and updating internal systems.
- Acting as a first point of contact for telephone and email enquiries.
- Providing general administrative support to the Agricultural Compliance team.
- Delivering a professional, friendly and efficient service to clients at all times
Skills and Experience
Essential:
- Excellent organisational skills.
- Strong ability to plan and coordinate appointments efficiently.
- Experience arranging travel and preparing detailed journey itineraries.
- Ability to prioritise tasks and manage multiple schedules simultaneously.
- Excellent communication skills, both written and verbal.
- High level of attention to detail and accuracy.
- Good IT skills, including Microsoft Office.
- Ability to work independently and use initiative.
- Flexible and adaptable when plans change at short notice.
- Strong problem-solving skills and the ability to find practical solutions.
- Professional, reliable and able to handle confidential information appropriately.
- Friendly and approachable, with excellent customer service skills.
- Good geographical knowledge and confidence using navigation and journey-planning tools.
- Ability to liaise effectively with clients, colleagues and external organisations.
- Calm under pressure and able to meet deadlines.
Desirable:
- Knowledge of farming, agriculture or the rural sector.

Previous agricultural experience or knowledge of the farming sector would be advantageous but is not essential. Full training will be provided for a motivated candidate with excellent organisational skills, a strong customer service focus and a willingness to learn.
