Role Overview
The Records Administrator provides administrative and records support across LNT Construction, helping to ensure company information and documentation is accurate, organised and easily accessible.
The role includes supporting the preparation of Client Operation & Maintenance (O&M) Manuals, arranging employee accommodation, maintaining company records and providing general administrative support.
Working alongside the Administration Manager, Senior Records Administrators and wider Records Administration team, you will help manage workloads, meet deadlines and provide a consistent and reliable service across the business.
Key Responsibilities
O&M Manuals & Documentation
- Request, chase and compile information and documentation required for Client O&M Manuals.
- Liaise with internal teams, subcontractors and suppliers to obtain outstanding information.
- Review documentation and identify missing or incomplete information.
- Maintain clear records of documents received and outstanding.
- Support the completion of O&M Manuals within required timescales.
Employee Accommodation
- Arrange and manage accommodation bookings for employees.
- Liaise with employees, accommodation providers and colleagues regarding booking requirements.
- Manage amendments, cancellations and accommodation-related enquiries.
- Maintain accurate booking records and communicate arrangements clearly.
Records & Data Management
- File, organise and archive electronic and physical documentation.
- Maintain accurate and accessible company records.
- Update spreadsheets, databases and other systems as required.
- Complete data entry accurately and on time.
- Retrieve archived documents and information when required.
General Administration
- Respond to information and documentation requests from colleagues and other stakeholders.
- Locate and provide accurate information within required timescales.
- Take and distribute meeting minutes when required.
- Deal with email and telephone enquiries professionally.
- Provide general administrative support to the department and wider business.
- Handle company information appropriately and maintain confidentiality.
Teamwork & Support
- Work closely with the Records Administration team to manage workloads and priorities.
- Provide support and cover for colleagues when required.
- Communicate priorities, deadlines and outstanding tasks effectively.
- Help the team during busy periods or periods of absence.
- Follow established processes and highlight opportunities for improvement.
Skills & Experience
We are looking for someone who can demonstrate:
- Strong administrative and organisational skills.
- Excellent attention to detail and accuracy.
- Good working knowledge of Microsoft Office, particularly Word, Excel and Outlook.
- Clear written and verbal communication skills.
- The ability to organise and prioritise multiple tasks.
- Confidence in following up outstanding information and seeing tasks through to completion.
- A professional approach when dealing with colleagues, suppliers, subcontractors and other stakeholders.
- The ability to work independently and as part of a team.
Previous experience in administration, records management, document control or the construction industry would be beneficial, but is not essential.
