Key Responsibilities
General Administration
- Provide day-to-day administrative support to the Managing Director, Operations Manager and wider team.
- Maintain accurate company records, documents and filing systems.
- Manage incoming and outgoing correspondence, including emails, letters and documentation.
- Prepare reports, spreadsheets and documents as required.
- Maintain organised electronic and paper-based filing systems.
- Support the implementation and improvement of office systems and procedures.
- Assist with general office administration and business support tasks.
Customer Support & Communication
- Act as a professional and friendly point of contact for customers.
- Respond to customer enquiries by telephone, email and other communication channels.
- Schedule appointments, surveys, meetings and customer visits.
- Provide customers with project updates where appropriate.
- Record customer queries, requests and concerns and ensure they are communicated to the relevant team members.
- Support the customer journey from initial enquiry through to project completion.
- Help maintain the company's reputation for excellent service and communication.
Project Administration
- Provide administrative support to the Operations Manager and Site Supervisors.
- Maintain accurate project records and documentation.
- Update project trackers, schedules and progress reports.
- Assist with preparing project information, specifications and customer documentation.
- Maintain records of drawings, approvals, variations and project communications.
- Support project completion processes, including handover documentation and customer records.
- Ensure operational paperwork is completed and filed correctly.
Employee & Subcontractor Support
- Maintain subcontractor records and compliance information.
- Assist with coordinating subcontractor details and availability.
- Support communication between office staff, site teams and subcontractors.
- Assist with organising meetings, briefings and internal communications.
- Help ensure all required documentation is current and accessible.
Supplier & Materials Administration
- Assist with supplier communication and administration.
- Support the ordering and tracking of materials where required.
- Maintain records of purchase orders, deliveries and invoices.
- Liaise with suppliers regarding delivery schedules and documentation.
- Assist the operational team in ensuring materials are available when required.
Health & Safety & Compliance Support
- Assist with maintaining Health & Safety records and documentation.
- Keep training records, certificates and compliance documents up to date.
- Support preparation for audits, inspections and reviews.
- Ensure company documentation is correctly stored and easily accessible.
- Assist the management team with compliance administration.
Systems & Process Improvement
- Maintain accurate data within company systems.
- Update customer databases, project management systems and internal trackers.
- Identify opportunities to improve administrative processes.
- Support the introduction of new systems and procedures.
- Maintain confidentiality of customer, employee and company information.
- Prior office experience demonstrating familiarity with administrative procedures.
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools (Gmail, Drive, Calendar).
- Experience with data entry and maintaining organized records in a fast-paced environment.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Demonstrated ability to handle phone calls professionally while maintaining courteous communication standards.
- Clerical experience involving document preparation, filing systems, and basic bookkeeping using QuickBooks is preferred.
- Familiarity with office equipment such as printers, scanners, and telephones is advantageous.
