We are looking for a highly motivated, efficient and organised Aftersales Administrator to join our busy Aftersales and Vehicle Preparation operation at our Trafford Park site.

The Role
This is a varied and fast-paced position combining aftersales customer support, workshop administration and vehicle preparation coordination.
Working closely with and providing day-to-day support to the Aftersales Manager, you will help ensure customer enquiries, vehicle repairs and workshop activity are managed efficiently from initial contact through to completion.
A key part of the role is liaising directly with customers, our internal workshop, external workshops, repairers and suppliers. You will coordinate work, monitor progress, provide clear updates and ensure issues are followed through to a timely and satisfactory resolution.
You will also work closely with our Sales, Workshop and Parts teams, helping to keep vehicles moving efficiently while maintaining accurate records, effective communication and a high standard of customer service.
This role would suit someone who enjoys solving problems, coordinating multiple jobs and taking ownership to make sure things get done.
What You’ll Be Doing
- Provide day-to-day administrative and operational support to the Aftersales Manager.
- Deliver professional aftersales support, taking ownership of customer enquiries and issues through to resolution.
- Act as a key point of contact between customers, our internal workshop, external workshops, repairers, contractors and suppliers.
- Coordinate customer vehicle repairs and aftersales work, ensuring all parties have the information needed to progress each job.
- Liaise directly with customers to arrange work, provide progress updates and communicate expected completion times.
- Follow up with internal and external workshops to monitor repairs, identify delays and keep work progressing within agreed timescales.
- Assess and prioritise customer concerns, working with the Aftersales Manager to achieve fair, positive and timely outcomes.
- Escalate complex, sensitive or higher-cost customer issues to the Aftersales Manager when appropriate.
- Liaise daily with Sales Managers and the Sales team to resolve customer and vehicle preparation issues.
- Coordinate workshop jobs around technician availability, vehicle requirements and handover deadlines.
- Monitor vehicle progress and identify sold vehicles requiring priority through the workshop.
- Open, assign, update and close job cards for servicing, MOTs, vehicle checks, repairs, warranty and contractor work.
- Work closely with Parts and external suppliers to ensure required components and services are available when needed.
- Monitor outstanding parts and help resolve delays affecting repairs, vehicle preparation or customer service.
- Undertake other reasonable duties as required to support the Aftersales Manager and the effective operation of the department.
About You
We are looking for someone who is organised, confident, proactive and solutions-focused, with the ability to build strong working relationships with customers, colleagues and external repair partners.
You will be comfortable managing multiple jobs and customer enquiries at the same time, following up on outstanding actions and ensuring nothing gets overlooked.
You should be able to remain calm and professional under pressure while maintaining a high level of accuracy and customer service.
The ideal candidate will have:
- Previous experience in administration, aftersales or customer service.
- Excellent organisational skills and attention to detail.
- Strong customer service and problem-solving skills.
- A confident and professional telephone manner.
- Excellent written and verbal communication skills.
- Confidence liaising with customers, managers, workshops, repairers and suppliers.
- The ability to prioritise effectively and manage multiple jobs and deadlines.
- A proactive approach, with the confidence to take ownership and follow issues through to completion.
- Good Microsoft Office skills and confidence working with reports and data.
- Strong standards of timekeeping, attendance and professionalism.
- The ability to remain calm, organised and effective in a fast-paced environment.
- A flexible approach when occasional business requirements arise.
Previous experience within automotive aftersales, a dealership, vehicle preparation, workshop administration or vehicle repair coordination would be highly advantageous. Experience using a Dealer Management System (DMS) would also be beneficial.
Hours & Flexibility
Your normal working hours will be Monday to Friday, 9:00am – 5:00pm.
As our site operates seven days a week, there may occasionally be a requirement to provide Saturday cover to support the needs of the business. Saturday working is not intended to form part of the regular working pattern, but applicants should be willing to provide reasonable flexibility when required.
