SPECIAL EVENTS JUNIOR PLANNER
OVERVIEW
The Junior Planner is responsible for driving sales within the Special Events Department and ensuring the successful execution of events. This role involves managing client relationships, preparing proposals, coordinating event logistics, and overseeing on-site execution. The Junior Planner must be able to handle multiple clients, work within budgets and timelines, and maintain a high standard of service.
KEY RESPONSIBILITIES
- Develop a strong understanding of all Celebrations Ltd.’s products and services.
- Work toward achieving sales targets within the Special Events division.
- Plan and coordinate weddings, private events, and corporate events within client budgets.
- Create and present proposals, including detailed quotes and final billing.
- Manage the costing and booking of products, vendors, venues, and labor according to budget requirements.
- Coordinate full on-site event execution, working closely with design, production, and other operational teams.
- Ensure seamless event delivery by providing accurate and timely information to all relevant departments.
- Increase conversion rates from inquiries to confirmed bookings.
- Attend Special Events meetings to provide updates on progress, contributions, and concerns.
- Review and analyze budgeted versus actual expenses for ongoing improvement.
- Provide feedback to the Marketing team regarding campaign and tool effectiveness.
- Work with Planning Assistants and the Events Administrator to ensure all paperwork is completed and billing, including deposits and final payments, is up to date.
- Maintain strict confidentiality regarding clients and company information.
- Strong knowledge of in-house software systems, such as Fusion, Got-Flower, and other event-related programs.
- Be an ambassador for and positively represent Celebrations Ltd. to clients, potential clients, and the general public.
- Contribute to the Special Events Sales team by actively seeking new means of generating income.
- Build and maintain strong client relationships.
- Establish and sustain positive relationships with vendors and business partners.
BACKGROUND INFORMATION
Celebrations Group Ltd. has been in operation since 1993. We are the leading wedding and special events company in the Caribbean, with a full-time planning, floral, design, and production team. We have an inventory of over 200,000 decor items, in addition to those of a retail store. We specialize in creating and planning bespoke events, both local and international, from minimalist to luxury weddings. We cater to both local and destination weddings, extravagant corporate events, and intimate social gatherings.
PERSON SPECIFICATION
The ideal candidate will be detail-oriented, highly organized, and capable of effectively planning and prioritizing tasks. They should have experience in a similar role, be self-motivated, goal-driven, and possess strong communication skills. Additionally, proficiency in the company’s computer programs is essential.
KNOWLEDGE, SKILLS, AND EXPERIENCE
- Must have 1-2 years of experience in special events and sales.
- Diploma/certification in Event Management is required.
- Bachelor's/Graduation in Events Management is a plus.
- Excellent verbal and written communication skills.
- Must be highly organized with the ability to meet multiple deadlines.
- Excellent computer skills are essential, along with time management and prioritization skills.
- Must be highly proficient in event-related software, including but not limited to Canva, Adobe Photoshop, and MS Office.
- Should have a driver’s license and a car and be willing to travel. Gas allowance will be provided.
WORKING CONDITIONS
- Working hours are varied and include evenings, weekends, and Public Holidays.
- The work environment will include working outdoors from time to time and in hot weather conditions.
- Capable of lifting items to 30lb and helping the team on site during site setups if needed.
- This job requires long standing, bending, lifting, working on job sites, and occasionally working in the warehouse.
- Must have clean driving and police records and own transportation.
SALARY RANGE
CI$30,000 – CI$34,250 per annum plus commission on sales and a benefits package working 45 hours per week. Salary commensurate with experience.
Working Hours: Monday to Saturday 9 am to 6 pm and Saturdays 9 am to 1 pm, but may vary depending on the busy season.
