About the Role
We are looking for a highly organised, proactive, and personable individual to join our team as a Headteacher’s Personal Assistant and School Administrator on a maternity cover basis.
This is a unique opportunity to become a central figure in a small, vibrant language school where relationships, creativity and initiative are truly valued.This is a key role within the school, combining high-level administrative support to the Headteacher with the smooth running of the school office. You will be at the centre of school life, supporting staff, communicating with parents, and helping ensure everything runs efficiently day to day.
Key ResponsibilitiesHeadteacher’s PA Duties
- Managing the Headteacher’s diary, meetings, and appointments
- Drafting emails, letters, and reports
- Handling confidential communications with discretion
- Preparing agendas and taking minutes
- Following up on action points
- Supporting recruitment and performance processes
- Maintaining policies and key school documents
- Assisting with the organisation of meetings and events
School Administration Duties
- Managing front office operations (calls, emails, enquiries)
- Coordinating teachers’ calendars
- Maintaining pupil records (admissions, attendance, medical information)
- Supporting registers and absence follow-up
- Assisting with staff onboarding and HR administration
- Maintaining safeguarding and training records
- Preparing newsletters and parent communications
- Supporting finance tasks (petty cash, parent payments)
- General admin tasks (filing, printing, photocopying, data entry)
- Supporting school events
- Assisting with the creation of Italian teaching materials and resources
Person SpecificationEssential:
- Excellent organisational and time-management skills
- Strong written and verbal communication
- High level of discretion and professionalism
- Ability to multitask and prioritise in a busy environment
- Proficiency in Microsoft Office or Google Workspace
- Friendly, flexible, and proactive approach
- Previous PA or administrative experience
- Italian language (minimum B2 level)
- English language (minimum B2 level)
