Overview
We are seeking a proactive and organised Assistant Coordinator to support our team in daily administrative and operational tasks covering a maternity period. This role is ideal for individuals with organised, proactive, and confident in managing multiple tasks simultaneously, and have proficiency in various computer applications. The successful candidate will play a vital part in ensuring smooth communication and efficient workflow within our organisation. This role offers an excellent opportunity to develop administrative expertise in a dynamic environment.
Responsibilities
- Manage general administrative duties, including data entry, filing, and documentation.
- Process incoming work requests and ensure they are logged, prioritised, and assigned appropriately.
- Act as a central communication point between clients, engineers, and subcontractors.
- Source materials, equipment, and supplies at the best available rates.
- Prepare and issue quotations for clients in a timely and accurate manner.
- Raise purchase orders and track deliveries to ensure materials arrive on schedule.
- Assist with scheduling, job updates, and internal coordination.
- Maintain accurate records of job progress, correspondence, and costs.
- Support the team with any additional administrative or coordination tasks as needed.
Skills & Experience
- Proven office experience with a solid understanding of administrative procedures.
- Excellent organisational skills with the ability to multitask efficiently.
- Experience in data entry and clerical work with high accuracy and attention to detail.
- Strong computer skills, including proficiency in Microsoft Office (Outlook, Word, and Excel).
- Strong phone etiquette and communication skills
- Confident in liaising with clients, suppliers, and contractors.
- Good typing speed and familiarity with office equipment such as printers and scanners
- Previous administrative experience is preferred but not essential; a willingness to learn is important
- Ability to work independently as well as part of a team in a fast-paced environment
