Projects Coordinator
Indesign | Richmond, London Part time, 22.5 hours per week across three fixed days | £29,250 to £34,125 FTE (£17,550 to £20,475 part time offered)
About us
Indesign is a bathroom and full home renovation studio based in Richmond. We design, supply and install, which means we hold the whole project and the client deals with one firm rather than a chain of trades. We run around 70 projects a year, our pricing is fixed, and our work carries an 18 month warranty.
That model only works if the detail behind it is handled properly. This role is that detail.
The role
You will run the administrative spine of every live project. Orders placed correctly and on time, goods received and checked, fitting teams sent to site with the right information, clients kept informed on the things they ask about most.
It is a role for someone who takes satisfaction in a project running smoothly because nothing was missed, rather than someone looking to move into design or project management. Done well, it is the difference between an installation week that runs to plan and one that loses two days waiting for a delivery.
You will report directly to the Operations Director.
What you will do
Procurement and deliveries
- Place supplier orders against approved project specifications
- Book delivery slots and confirm lead times before they affect the programme
- Chase late or incomplete orders and escalate early
- Handle returns, credits and supplier claims
Goods in
- Receive and check deliveries against the order
- Flag shortages, substitutions and damages the same day
- Label and store items by project so nothing is guessed at on installation day
Site logistics
- Arrange parking permits, skip permits, lift bookings and access arrangements
- Liaise with building management and concierges
- Manage key handovers and storage arrangements
- Run the pre start checklist for each project so access and logistics are settled before the fitting team arrives
Project administration
- Prepare design and specification packs for fitting teams using our templates in Canva
- Set up and maintain project WhatsApp groups
- Keep the client portal and project records current
- Issue milestone payment requests
Client communication
- Answer routine client queries on delivery dates, weekly progress, payment amounts and access arrangements
- Pass anything touching scope, pricing, programme changes or complaints to the Project Manager
What this role is not
You will not be pricing work, designing bathrooms, negotiating with clients, or managing fitting teams on site. Those sit elsewhere. This role is deliberately defined so that the person doing it can do it well without carrying decisions they have not been given the context for.
About you
Essential:
- Strong administrative track record in a role where accuracy mattered
- Comfortable chasing suppliers and following up until something is resolved
- Clear, professional written communication with clients and suppliers
- Confident with spreadsheets, shared documents and web based systems
- Organised enough to hold twelve live projects in view without dropping one
Useful, not required:
- Experience in kitchens, bathrooms, interiors, construction or a premium retail studio
- Familiarity with Canva
- Full driving licence
We will train you on our systems, our suppliers and our products. We cannot train attention to detail.
Terms
- 22.5 hours per week across three fixed days, 9.00 to 17.00 with a half hour lunch
- Based in our studio in Richmond, with occasional site attendance across London
- £29,250 to £34,125 full time equivalent, depending on experience, which is £17,550 to £20,475 per year for three days
- 17 days holiday per year, inclusive of bank holiday entitlement
- Workplace pension
- Permanent, following a three month probation period
