Overview
We are seeking an experienced, highly organised and proactive Commercial Administrator to join our growing construction business.
This is a varied commercial and administrative role supporting the day-to-day operations of the company, working closely with the Directors, Commercial Team, Estimators, Quantity Surveyors, Project Managers and Site Teams.
The successful candidate will play a key role in procurement, supplier and subcontractor management, tender administration, client liaison, business development support and commercial administration across multiple construction projects.
Previous experience within the construction industry is highly desirable and will be considered a significant advantage. Candidates with experience working for groundworks, RC frame, basement, civil engineering or design & build contractors are particularly encouraged to apply.
Our company operates across Groundworks, Reinforced Concrete Frames, Basements, Civil Engineering and Design & Build projects throughout London and the South East.
We are looking for someone who is commercially aware, proactive, organised and confident communicating with clients, suppliers, subcontractors and site teams while ensuring the smooth running of both office and project operations.
Key ResponsibilitiesCommercial & Procurement Support
- Support the Commercial and Estimating Teams with day-to-day administration.
- Obtain quotations from suppliers and subcontractors.
- Compare quotations and prepare procurement summaries.
- Follow up outstanding quotations and supplier responses.
- Assist with placing material and plant orders.
- Open and maintain supplier and subcontractor accounts.
- Build and maintain strong relationships with suppliers and subcontractors.
- Track deliveries and resolve procurement issues promptly.
Tender Administration
- Assist with preparation and submission of tender documentation.
- Issue subcontractor enquiries and monitor responses.
- Maintain tender records and commercial documentation.
- Liaise with estimating staff to ensure information is received on time.
- Support the commercial team throughout the tender process.
Client & Business Development
- Maintain regular communication with existing clients.
- Follow up enquiries and identify opportunities for repeat business.
- Help develop relationships with new clients and promote the company's services.
- Assist in identifying new tender opportunities from public and private sector clients.
- Support business development initiatives and marketing activities where required.
- Promote the company's capabilities across Groundworks, RC Frames, Basements and Design & Build projects.
Site & Operational Support
- Liaise daily with site teams regarding material, plant and labour requirements.
- Coordinate supplier deliveries with site programmes.
- Resolve day-to-day operational issues between the office and construction sites.
- Ensure site requests are followed up promptly and efficiently.
- Maintain effective communication between office staff and project teams.
Client Documentation & Compliance
- Respond promptly to requests for company documentation including:
- Insurance Certificates
- RAMS
- Health & Safety Documentation
- Training Records
- CSCS Cards
- Accreditations
- Policies
- Pre-Qualification Information
- Maintain accurate compliance records.
- Support PQQ submissions and client onboarding.
Commercial Administration
- Maintain accurate project records and commercial documentation.
- Prepare purchase orders and monitor expenditure.
- Assist with invoice administration and payment tracking.
- Support financial administration using QuickBooks or similar accounting software.
- Maintain filing systems and document control procedures.
General Administration
- Provide administrative support to Directors and Senior Management.
- Organise meetings and prepare agendas where required.
- Prepare reports, spreadsheets and correspondence.
- Answer telephone calls professionally and respond to emails promptly.
- Maintain organised electronic and paper filing systems.
- Assist with HR administration and employee onboarding documentation.
Skills & Experience
The successful candidate should have:
- Previous experience as a Commercial Administrator, Construction Administrator, Office Manager or Senior Administrator.
- Previous experience within the construction industry is highly desirable and will be considered a major advantage.
- Experience working for Groundworks, Civil Engineering, RC Frame, Basement or Design & Build contractors would be highly beneficial.
- Experience supporting estimating, commercial or procurement teams.
- Experience dealing with suppliers, subcontractors and construction procurement.
- Experience preparing tender documentation or supporting tender submissions.
- Experience responding to client compliance and document requests.
- Good understanding of construction terminology and project administration.
- Experience using QuickBooks or similar accounting software.
- Excellent Microsoft Office skills, particularly Excel, Outlook and Word.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- Ability to prioritise multiple tasks and work under pressure.
- Professional telephone manner.
- Strong attention to detail.
- Ability to work independently and as part of a team.

Pay: £32,000.00-£35,000.00 per year
