We are seeking a proactive, organised and friendly Office Administrator to join our team at our head office in Liverpool.
In this role, you will support day-to-day office operations and provide administrative assistance across all departments, helping the business run smoothly and efficiently.
Key Responsibilities
The responsibilities will include, but will not be limited to:
- Manage incoming calls and welcome guests with professionalism and courtesy
- Organise and maintain digital systems, ensuring easy retrieval of documents
- Handle mail distribution and courier arrangements
- Monitor engineer timesheet completion and ensure submissions are made on time
- Update shared spreadsheets to support operational activity
- Support the accounts department by inputting purchase invoices and expenses and updating credit limits
- Assist the accounts department with overhead analysis
- Book hotel accommodation for engineers as required
- Arrange parcel deliveries efficiently
- Assist with PQQs and customer and supplier form completion
- Monitor and update subcontractor insurance information
- Update supplier price lists on the cloud system
- Maintain office stock levels for parts and stationery
- Keep the holiday planner up to date and accurate
- Provide general administrative support to team members and management as needed
Experience
- Proven office experience or administrative background is essential
- Proficiency in computer skills including Microsoft Office (Word , Excel, PowerPoint)
- Strong organisational skills with the ability to prioritise tasks effectively
- Excellent typing speed and data entry accuracy
- Previous clerical experience with a focus on organisation and attention to detail
- Good telephone etiquette and communication skills are vital for liaising with clients and internal teams
- Ability to work independently whilst supporting team objectives

Pay: £25,000.00-£31,000.00 per year
