Job purpose:To maximise guest satisfaction and to ensure all duties as stated in the reception checklists are carried out in full and in the correct manner, which will ensure the smooth running of the department.
Main duties (Reception):
To ensure that all guests are treated with the utmost understanding, kindness and warmth.
To ensure that the reception and reception lounge area are kept clean and tidy and offer a welcoming atmosphere.
Answering all incoming and internal telephone calls as per company standard.
Carrying out all guest arrivals and departures to the company standard, including the procedures for rooming a guest on arrival.
Responsibility for all reception floats, banking and monies, including the main safe.
Responsibility for all key & float issuing – ensuring all relevant details are recorded.
Carrying out all early morning call and newspaper requests from guests where applicable.
Ensuring all relevant charges are posted to guest’s rooms and all financial transactions are balanced recorded and correct.
Liaising with all other departments to ensure smooth running of the hotel.
Ensuring all reports required to be kept on file are printed from hotel executive and filed in an appropriate manner.
Liaising with the Head Receptionist on a day-to-day basis to ensure the smooth running of the department.
To ensure completed checklists are filed in the correspondence folder at the end of each shift.
To work within Health and Safety Regulations at all times.
Additional duties:
Answering reservation calls and processing reservations to the company standard.
Taking wedding/function enquiries and passing these to the relevant manager to deal with.
Taking messages for other departments and ensuring these are passed on to the relevant manager.
Taking lunch/dinner reservations, recording these and passing to the Restaurant Supervisor/ Manager.
Processing foreign exchange for hotel guests, adhering to the ‘money laundering’ policy.
Ensuring that any petty cash issued to any member of staff is signed for and that a receipt is obtained to cover the purchase as per the company procedure.
Ensuring the booking of staff taxis complies with company policy.
To assist with Door duties and Night Porter / Auditor duties (following Night Auditor training)
Any other duties as specified by the Reception Manager
Pay: £12.71 per hour
