We are looking for a Service Administrator to join our team in our Loading Systems North Office in Dewsbury. The purpose of the role is to support the efficient coordination of service operations by providing strong customer communication and adhering to administrative processes. The role ensures accurate record keeping, timely job progression, and high standards of customer service, contributing to effective service delivery and overall operational performance within the business.
Main Duties:
- Call Management: Log customer call-outs accurately and efficiently, ensuring all relevant information is recorded and allocated appropriately.
- Telephone Support: Answer incoming telephone calls professionally, providing a high standard of customer service and responding to enquiries in a timely manner.
- Engineer Coordination: Dispatch and send jobs to Engineers, ensuring work is allocated correctly and updated within company systems.
- Customer Reporting: Prepare and issue customer reports, ensuring information is accurate, clear, and delivered within agreed timescales.
- Out-of-Hours Administration: Compile and distribute out-of-hours reports, ensuring all relevant information is recorded and communicated appropriately.
- Data Management: Maintain and update records within DataPen and other company systems, ensuring accuracy and compliance with business processes.
- CNI Reporting: Prepare and distribute CNI reports in line with company requirements and reporting deadlines.
- Timesheet Processing: Collect, review, and process engineers’ timesheets, ensuring information is accurate and submitted within required timescales.
- Administrative Support: Provide general administrative support to the department, assisting with document management, correspondence, data entry, and other office duties as required.
- Team Collaboration: Work closely with Engineers, customers, and colleagues to support efficient service delivery and operational performance.
Person specification:
- Administrative Experience: Previous experience in an administrative or customer service role is desirable.
- Organisation & Time Management: Strong organisational skills with the ability to manage multiple tasks and prioritise workload effectively.
- Communication Skills: Excellent verbal and written communication skills with a professional and confident telephone manner.
- Customer Focus: Committed to delivering a high standard of customer service, maintaining a professional and courteous approach at all times.
- Attention to Detail: Demonstrates a high level of accuracy when processing information, reports, and records.
- IT Skills: Competent in Microsoft Office applications and confident using internal databases and management systems.
- Problem Solving: Able to use initiative and respond effectively to queries, issues, and changing priorities.
- Teamwork: Works collaboratively with colleagues and builds positive working relationships across the business.
- Reliability & Professionalism: Dependable, proactive, and able to maintain confidentiality and professionalism when handling sensitive information.
