Responsibilities
- Manage incoming calls with professional phone etiquette, directing inquiries efficiently and courteously
- Covering reception as second call handler
- Use case management to update clients and open new matters
- Assist with data entry tasks, ensuring accuracy and timeliness in maintaining records
- Support the organization of meetings, appointments, and company events by coordinating schedules and preparing materials
- Maintain filing systems, both digital and physical, for easy retrieval of documents
- Use Microsoft Office applications such as Word, Excel, and Outlook to draft correspondence, reports, and schedules
- Perform general clerical duties including photocopying, scanning, mailing, and ordering office supplies
- Archiving files
- Assisting the Director with tasks
- Preparing quotations
Skills
- Previous office experience demonstrating familiarity with administrative tasks and office procedures
- Previous experience of call handling
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with data entry and clerical work ensuring high accuracy and attention to detail
- Excellent organizational skills to prioritize tasks effectively in a fast-paced environment
- Good typing speed for efficient document preparation and correspondence
- Experience of dealing with clients both over the telephone and in person
- Effective communication skills with professional phone etiquette and interpersonal abilities
