Purpose of the Role
We are looking for a Sales & Export Administrator to join our Sales team and play a key role in the smooth and efficient running of our Sales Office.
This is a varied, customer-focused administration role, ideal for someone who enjoys working in a busy environment, building strong relationships and ensuring customers receive a consistently high level of service.
You will provide day-to-day sales administration and customer support, process sales orders, manage export compliance documentation and work closely with colleagues, customers and external partners to ensure orders are handled accurately and efficiently.
Key Responsibilities
- Coordinate the day-to-day operations of the Sales Office, ensuring administrative processes run smoothly and company procedures are followed.
- Respond to incoming telephone calls and emails in a professional, positive and timely manner.
- Provide outstanding customer support, responding promptly and accurately to enquiries regarding stock availability, deliveries, back orders, products and pricing.
- Act as a key point of contact for customer issues and complaints, working to provide timely and satisfactory resolutions.
- Process sales orders received by email and telephone, checking product, pricing and shipping details carefully.
- Enter sales orders accurately onto Sage Line 50, ensuring customer details, addresses and carriage charges are correct.
- Manage export compliance documentation, including compiling proof of export and liaising with customers and hauliers to obtain outstanding documentation.
- Record customer amendments and enquiries on Sage Line 50 and Act!.
- Work collaboratively with the Sales Team, sharing information and ensuring colleagues are kept informed of customer concerns and issues.
- Identify potential new customers and prepare relevant information for the National Sales Manager.
- Build and maintain strong relationships with internal and external stakeholders, including haulage partners.
- Monitor work in progress through participation in Production meetings, identifying potential issues and communicating these to customers where appropriate.
- Support the Sales Office Manager with daily activities and provide cover during their absence.
- Undertake a range of ad-hoc sales administration duties, including filing, posting samples, supporting marketing events, handling post and reporting.
- Provide temporary cover for colleagues during sickness, annual leave or other periods of absence.
- Follow all company policies and procedures, including Health & Safety and Equal Opportunities requirements.
- Undertake any other reasonable duties as required.

Desirable experience:
- Experience using Sage Line 50 and Act!
- Knowledge of export shipping regulations and customs compliance.
