Junior Office Assistant (Level 3 Management and Business Foundations Apprentice)
As a Junior Office Assistant, you will play an important role in supporting the smooth day-to-day running of our office and customer service functions. This is a varied position that offers exposure to administration, customer liaison, facilities management, and office support, while working towards a Level 3 Management and Business Foundations Apprenticeship.
Key Responsibilities
- Following engineer service and maintenance visits, liaise with customers by providing copies of service reports and sales orders, and request purchase order (PO) numbers where required.
- Update sales orders with customer PO numbers and process orders through to despatch and invoicing.
- Support the management of office facilities, ensuring the workplace remains safe, organised, and well-maintained.
- Take a proactive approach to resolving office maintenance issues, including coordinating repairs for equipment such as coffee machines and photocopiers.
- Monitor and maintain stock levels of office stationery and consumables, including coffee, tea, sugar, soaps, dishwasher tablets, and other supplies.
- Arrange lunches and refreshments for visiting customers and important guests. (Must have own transport)
- Assist with general filing and document management.
- Print, prepare, and bind training materials and brochures as requested by the Training Manager.
- Provide general administrative support to colleagues across the business.
- Undertake any other reasonable duties as requested by your Line Manager.
- This role is ideal for a motivated and organised individual looking to begin a career in business administration while gaining practical workplace experience within a supportive team environment.
Skills Required:
- Excel and word preferable but not essential.
- Our computer system is bespoke and full training will be provided.
Personal Qualities:
- A reliable, flexible, self motivated and positive approach to work is essential.
Qualifications Required:
- GCSEs grades A*-C/9-4 or equivalent (including English Language and Maths)
