A boutique property management company in Southampton is looking for an experienced Senior Lettings & Property Administrator to join our friendly, professional, and supportive team.
This is a varied and hands-on role suited to someone who enjoys keeping operations organised, managing processes efficiently, building strong relationships with landlords and contractors, and taking pride in maintaining high standards across the business.
We are looking for someone dependable, proactive, highly organised, and confident handling a busy workload within a relaxed but professional office environment.
This role is primarily office-based and combines property administration, compliance, accounts support, tenancy progression, maintenance coordination, and occasional property viewings and inventories when required.
The Role
Your responsibilities will include:
- Managing the lettings process from start to finish
- Preparing tenancy agreements and progressing applications
- Referencing tenants and handling compliance documentation
- Coordinating maintenance issues with contractors, landlords, and tenants
- Managing landlord and tenant communication professionally and efficiently
- Chasing rent arrears and handling difficult conversations where required
- Property file management and record keeping
- Processing invoices, scanning receipts, and assisting with bookkeeping
- Supporting accounts administration using systems such as QuickBooks or Xero
- Managing diaries, appointments, and contractor scheduling
- Conducting occasional property viewings, inventories, and check-outs
- Ensuring the office remains organised, stocked, and running smoothly as part of a team environment
- General day-to-day office and administrative support
Experience & Skills Required
Essential
- Minimum 4 years’ experience within lettings, property management, or property administration
- Strong understanding of the tenancy and lettings process
- Excellent organisational and multitasking abilities
- Confident communicator with strong written and verbal skills
- Ability to handle pressure and problem-solve independently
- Professional and personable approach with landlords, tenants, and contractors
- Good working knowledge of Microsoft Office and Outlook
- Full UK driving licence and access to a vehicle
Highly Desirable
- Experience using Alto
- Experience using Fixflo
- Knowledge of QuickBooks or Xero
- Experience coordinating maintenance and contractors
- Understanding of compliance and property legislation
- Experience carrying out inventories and check-outs
- ARLA qualification or willingness to study towards one
