We are now looking for a reliable and organised Bookkeeper & Office Administrator to support the day-to-day financial and administrative operations of the business.
The Role
This is a flexible, part-time position that would suit someone looking for around 5–10 hours per week, for example a couple of hours each day, although we are happy to discuss a working pattern that suits both parties.
Working closely with our external accountants, you will help ensure our financial records are accurate and up to date while also providing general office administration support.
We're looking for someone who enjoys a varied role and is happy to turn their hand to different tasks as required.
Please note: This is an office-based role and is not suitable for remote working. Our office is located in a rural location just outside Ripon and is not accessible by public transport. Therefore, applicants will need to have their own transport and be able to travel to the office.
Key Responsibilities
Bookkeeping
- Maintain accurate financial records using Xero
- Complete regular bank reconciliations
- Raise and issue customer invoices
- Process supplier invoices and maintain purchase records
- Reconcile supplier statements and resolve discrepancies
- Prepare payment runs for approval
- Monitor outstanding customer invoices and assist with credit control where appropriate
- Collate and maintain sales and purchase documentation
- Maintain accurate debtor and creditor records
- Respond to routine finance queries from customers, suppliers and colleagues
- Liaise with Directors and our external accountants, providing information to support VAT returns, management accounts and year-end accounts
- Prepare financial information and supporting documentation for month-end processes
- Maintain organised digital financial records and filing systems
- Support cash flow administration and reporting
- Assist with finance administration relating to research and innovation projects, including maintaining financial records and supporting grant claim documentation
- Identify opportunities to improve finance processes and efficiencies
Office Administration
- Answer incoming telephone calls and respond to general enquiries
- Welcome visitors to the office
- Manage incoming and outgoing post
- Order office supplies and maintain office resources
- Maintain office filing systems and company records
- Provide administrative support to the wider team
- Assist with general office coordination and ad hoc administrative tasks
About You
We're looking for someone who is:
- Experienced in bookkeeping or finance administration
- Familiar with accounting software (experience using Xero is highly desirable)
- Highly organised with excellent attention to detail
- Comfortable working independently and managing their own workload but thrives being part of a small closeknit team
- Confident communicating with colleagues, customers and external accountants
- Proficient in Microsoft Office, particularly Excel and Outlook
- Friendly, professional and willing to support a small team across a variety of tasks
A bookkeeping qualification (AAT or similar) would be an advantage but is not essential if you have relevant experience.
