Position: Administration Assistant - Children's Social Care (Admin and Clerical)
Location: Guildhall Walk, Portsmouth, PO1 2AL

Contract Duration: 5+ Months
Working Hours: 37 hours per week – 08:30 – 17:00
Pay Rate: PAYE: £ 13.45 per hour
Job Responsibilities:
- Provide day-to-day administrative support to the Early Help and Prevention Service across Family Hub locations
- Welcome and support families, professionals, and visitors using the Family Hub services
- Provide excellent customer service through telephone, email, and face-to-face communication
- Manage room bookings, building access, and daily operational tasks
- Open and secure Family Hub buildings, complete routine checks, and report any repairs or issues
- Maintain accurate records, databases, spreadsheets, and service information systems
- Prepare documents, reports, presentations, and performance information when required
- Support audits, inspections, and service improvement activities
- Handle confidential information relating to children, young people, and families in line with GDPR and safeguarding requirements
- Provide administrative cover across five Family Hub locations in Portsmouth as needed
- Work independently, manage priorities, and respond flexibly to changing service needs
- Support colleagues and contribute to the smooth running of Family Hub services
- Complete first aid training and act as a designated first aider when required
Person Specification:
- Experience working in an administrative role within a busy office or customer-facing environment
- Experience supporting children, young people, families, or public services is desirable
- Good knowledge of Microsoft 365 applications, including Word, Excel, Outlook, Teams, Access, and PowerPoint
- Strong written and verbal communication skills with the ability to communicate professionally
- Excellent organisational skills with good attention to detail and accuracy
- Ability to manage multiple tasks, prioritise workloads, and meet deadlines
- Reliable, trustworthy, and able to handle confidential information appropriately
- Strong customer service skills with a professional and helpful approach
- Good understanding of GDPR, confidentiality, and safeguarding responsibilities
- Ability to collect, organise, and present information effectively
- Experience supporting the running of a building or venue is desirable
- Ability to work independently and as part of a team
- Flexible approach with the ability to travel between Family Hub locations across Portsmouth
- Willingness to undertake first aid training
- Ability to remain calm and professional when dealing with sensitive or challenging situations
