What's the job about?
The Sales Ledger Coordinator plays a key role in managing all aspects of the Sales Ledger, ensuring accurate invoicing, timely cash allocation, effective credit control to support cash flow whilst supporting both Engineering and Operations teams in understanding related processes. This position requires a proactive approach to identifying and recommending process efficiencies, while providing timely reports on Sales Ledger and Credit Control to management. The role offers opportunities for learning and development, with the expectation to build skills that enable support and deputisation for the Financial Accountant.
What will you be doing?
Sales Ledger Management
- Calculate client fees and determine appropriate methods based on contract terms.
- Prepare and issue client invoices in accordance with agreed contractual conditions, using data from the accounting system.
- Ensure accurate reconciliation of client records and correct allocation of payments, resolving discrepancies promptly.
- Provide VAT analysis on sales invoices.
Financial Controls & Reporting
- Maintain monthly controls to safeguard financial integrity, including monitoring unbilled costs, funding reconciliations, and work-in-progress reports.
- Compile and progress debtor information, including chasing overdue accounts.
- Produce cost reports for BPA management and clients.
- Support statutory, internal, and client audits as required.
Process & Documentation
- Update, maintain, and produce the internal code manual.
- Contribute to continuous process improvements, ensuring procedures are efficient and effective.
Support & Deputisation
Deputise for the Financial Accountant when required, including:
- Producing monthly cash book and bank reconciliations.
- Assisting the Finance Analyst with monthly cost and time-writing reports for internal and external accounts.
- Performing day-to-day finance duties such as journal entries, setting up new job numbers, closing projects, and budget entry.
- Supporting ad hoc tasks as requested.
Stakeholder Engagement
- Liaise with Engineering to address cost issues on invoices.
- Assist in providing clear guidance on invoicing processes to internal teams.
What do we need from you?
Education:
- AAT (or equivalent) desirable but not essential.
Skills & Competencies:
- Strong numerical ability with excellent communication and interpersonal skills.
- Effective problem-solving and prioritisation skills.
- Fully confident in using Microsoft Excel, including advanced functions and complex spreadsheet management.
- Proficient in other PC applications and comfortable working with data-driven tasks.
Experience:
- Strong background in credit control.
- Previous experience working with computerised accounting systems.
- Demonstratable understanding of the implications of varying contract terms and conditions.
Attributes:
- Detail-oriented with a commitment to accuracy and process integrity.
- Ability to work independently and as part of a team in a fast-paced environment.

Basic Salary: £27,000 - £30,000
