About ADDF
The Afghanistan Development and Diplomacy Forum (ADDF) is a newly developing, independent, non-profit and non-partisan initiative based in Glasgow.
ADDF aims to promote informed dialogue concerning Afghanistan's economic development and constructive international engagement, particularly by developing connections with institutions, businesses, universities, policymakers, development specialists and other stakeholders in Scotland, the United Kingdom, Europe and Afghanistan.
ADDF is currently developing its institutional network and preparing for its inaugural Glasgow Forum in 2027.
The Role
We are seeking a reliable, organised and digitally confident Part-Time Administrative & Communications Assistant to support the Founder & Convenor during ADDF's development stage.
The successful candidate will initially work from a private home office in Glasgow and provide practical administrative, correspondence, research-documentation and basic communications support.
This would particularly suit someone with strong organisational and computer skills who enjoys helping to build systems and procedures within a new organisation.
Main Responsibilities
The role will include:
- maintaining an organised electronic and paper filing system;
- maintaining records of incoming and outgoing correspondence;
- preparing, formatting and proofreading letters, emails, reports and other documents;
- maintaining an institutional contact database;
- keeping records of correspondence with universities, government institutions, businesses, media organisations and other stakeholders;
- monitoring correspondence requiring replies or follow-up;
- maintaining an appointments, meetings and follow-up diary;
- preparing meeting files, agendas, briefing documents and notes;
- taking and preparing meeting notes where required;
- maintaining ADDF's institutional documents and ensuring current versions are properly filed;
- carrying out straightforward online research when requested;
- organising research findings into clear tables and summaries;
- creating professional charts, tables and simple infographics from information supplied by ADDF;
- preparing presentation materials using Microsoft PowerPoint, Canva or similar software;
- helping prepare materials for conferences, meetings and presentations;
- maintaining lists of potential speakers, institutional contacts, sponsors and partners;
- assisting with practical administration for ADDF meetings and events;
- scanning, printing and organising documents; and
- providing other reasonable administrative support associated with the development of ADDF.
Essential Skills
Applicants should have:
- excellent organisational skills;
- good written and spoken English;
- strong attention to detail;
- confidence using Microsoft Word, Excel and PowerPoint;
- experience with email and electronic document management;
- the ability to create clear tables and charts;
- good general computer and internet research skills;
- the ability to work independently;
- reliability and discretion;
- professional communication skills; and
- the ability to maintain confidential information appropriately.
Experience with Canva or other simple graphic-design/infographic software would be particularly useful.
Desirable Skills
It would be advantageous, but not essential, to have experience in one or more of the following:
administration within a university, charity, NGO, business, research organisation or professional office; event administration; maintaining contact/CRM databases; preparing presentations or infographics; international affairs or economic-development organisations; social-media administration; or basic website content management.
Knowledge of Afghanistan is not required. Applicants will be selected primarily for their administrative ability, professionalism and reliability.
Person Specification
We are looking for someone who is:
highly organised dependable discreet computer-literate methodical presentable comfortable communicating with professional organisations willing to learn able to work without constant supervision
Because ADDF is at an early stage, the successful candidate should also be comfortable working in a small organisation where responsibilities may develop over time.
Working Arrangements
This is initially a part-time position of approximately 8–12 hours per week.
Work will be undertaken primarily from a private home office in Glasgow, with working days and hours agreed in advance.
Some duties may subsequently involve attending meetings or helping with ADDF events elsewhere in Glasgow.
The role may expand as ADDF develops.
