Job Overview
We are seeking a highly organised and proactive Commercial Assistant to support our sales and administrative teams. The successful candidate will play a key role in managing customer relationships, preparing sales documentation, and ensuring smooth administrative operations. Responsibilities
- Using the Sage system, process orders, quotes, provide acknowledgements, returns and credit notes within agreed timescales.
- Communicate courteously with customers by telephone, email, letter and face-to-face.
- Monitor the shared Customer Services inboxes and respond to emails within the agreed timescales.
- Respond to sample requests and prepare items to be mailed within agreed timelines.
- Process web orders, acknowledge receipt, pack and post items within agreed timescales.
- Handle customer service issues, keeping accurate records of discussions or correspondence with customers and follow through until a resolution is reached. If no resolution can be achieved, then escalate the issue to the Office Manager for advice and support.
- Create labels for new customers or products when required
- Report any foreseen stock issues or shortages to the purchasing and operations team
- Complete order books for customers as and when requested
- Assist the warehouse & operations team with creating pick lists and necessary paperwork
- Provide support to the Sales team including arranging samples, POS items.
- Support other members of the Customer Services Team during sickness or holidays to ensure that customers have a seamless experience.
- Any other duties that you may reasonably be asked to undertake.
Requirements
- Proven experience in sales administration or administrative roles, with strong organisational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM software such as Sage or similar platforms.
- Excellent communication skills in English, both written and verbal.
- Strong computer literacy with the ability to adapt quickly to new IT systems and software tools.
- Demonstrated ability to manage time effectively and prioritise tasks efficiently in a fast-paced environment.
- Customer service orientation with a professional attitude towards clients and colleagues.
- Organisational skills with attention to detail for maintaining accurate records and documentation.
- Previous experience working with IT systems or in a similar commercial support role is desirable but not essential.
